Job Summary:


Toyota Canada currently has an exciting opportunity for an automotive enthusiast to support our Dealer Standards & Sales Operations department. This is a 12-month contract/acting opportunity and will report to the Manager, Business Development & Fleet. The selected candidate will be supporting Fleet business through sales planning and programs, providing ongoing customer support and communication of our various fleet programs and data analysis to support further business development opportunities.

What You’ll be Doing:


  • Coordinate with Product Planning and ensure Price Protection claims are processed appropriately
  • Support with the development of the annual and monthly fleet program letters
  • Draft and communicate fleet related bulletins to Toyota dealers and Fleet Clients
  • Provide Landcruiser dealers with allocation and support with sales planning
  • Administer debit/credit notes to dealers and customers
  • Review and approve incentive dispute cases on Callidus in a timely manner
  • Upload and maintain all Fleet related documents on Infostream and TCI Connect
  • Manage office supplies for all facing departments, ensuring expenditures are in line with budget
  • Administer Toyota Motor Manufacturing Canada (TMMC) employee incentive assistance program and invoice TMMC accordingly
  • Assist with planning and organizing Fleet promotional events
  • Constant monitoring of several outlook inboxes and ensuring inquiries are resolved in a reasonable timeframe
  • Prepare requisitions, then follow-through to purchase orders & track for future reference
  • Champion the Mobility Program through issuing payment to customers and coordinating with upfitters
  • Manage promotional materials, including working with supplier to source appropriate items in line with budget and track inventory
  • Administer Fleet vehicle program, including liaising with external supplier, ordering of replacement vehicles, inspection of vehicles prior to departure/upon arrival, monitoring of vehicle activity logs & mileage, and ensure 407 payments are obtained from fleet users
  • Prepare ad hoc reports and analysis for Management and team review
  • Other duties as required
  • Organize business travel for Toyota Division management, as required
  • Process, reconcile, & track invoices for payment
  • Support with Rent-A-Car (RAC) and Elite Sales planning and ensure latest plans are loaded into SAP IBP
  • Monitor incoming customer communications and leads & direct to appropriate party for quick resolution
  • Administer Dealer Parts Express & Customer Shuttle programs


What You Bring:


  • Excellent organizational and time management skills; ability to work independently
  • Knowledge of Microsoft Word & PowerPoint
  • Strong written and verbal communication skills, communicating clearly and concisely
  • Ability to work effectively in a fast-paced environment, with a positive attitude and a curiosity to learn
  • Two years of related work experience
  • Strong proficiency in Microsoft Excel is required (vlookups, pivot tables, data cleansing, charts, etc.)
  • Experience with SAP is an asset
  • Strong administrative skills and attention to detail
  • University/college diploma in Business or Automotive-related discipline
