The Opportunity


We are currently seeking an experienced, highly organized, and exceptionally skilled Executive Assistant to provide unparalleled admin and logistical support to the Co-founder of our successful tech company. In this role, you will take on and oversee diverse projects, manage the Co-founder's schedule, coordinate travel arrangements, draft, and edit correspondence, manage confidential files and records, and liaise with internal and external stakeholders on a wide range of projects.


The ideal candidate will have a strong professional background (in at least one of the below areas):


Personal assistance,


Business administration,


Finance/accounting,


Paralegal work,


Project/event management.


You should be resourceful, unflappable, a great and professional communicator, open-minded about change, with a drive to succeed, and be a team player.

Key Responsibilities


  • Managing legal files
  • Contract review
  • Manage renovation projects
  • Managing accounts payable and receivable
  • Liaising and working with tax Accountant
  • Manage the Founders’ properties:
  • Overseeing and liaising with property management companies
  • Reconciling bank accounts
  • Assist with legal matters:
  • Manage the Founders’ schedule, including scheduling appointments and meetings, arranging travel, and managing daily tasks.
  • Manage and maintain confidential files and records
  • Draft and edit correspondence, reports, and presentations
  • Liaising with outside counsel
  • Assist in the planning and execution of special projects and events
  • Liaise with internal and external stakeholders, including clients, partners, and vendors
  • Coordinating seasonal schedules
  • Assist with the Founders’ financial management
  • Screen phone calls and emails, respond to inquiries and escalate issues as necessary


Who You Are


  • Proficiency in Microsoft Office and other productivity software
  • Experience working with high-profile individuals is a plus
  • Experience with legal research, drafting legal documents, and liaising with legal counsel
  • Ability to multitask and manage priorities in a fast-paced, dynamic environment
  • Exceptional communication skills, both written and verbal
  • Proven experience in managing a busy executive's schedule and tasks
  • Experience in property management and coordinating with property management companies
  • Minimum of 5 years of experience as an executive assistant or personal assistant
  • Strong interpersonal skills, including the ability to build relationships with internal and external stakeholders
  • Strong knowledge of bookkeeping and finance principles and practices
  • Demonstrated experience in project and event management
  • Flexibility to adapt to evolving responsibilities and expectations
  • Excellent organizational skills and attention to detail
  • Bachelor's degree in a related field (such as Business Administration, Finance, Law, or Paralegal Studies)
