We are seeking an Executive Assistant to our CEO who will also function as a Board Committee Coordinator. This dual role is a unique opportunity for a dedicated, strategic-minded professional to participate in facilitating Massive Canada's continued success. The ideal candidate will be able to work closely with our CEO and Board Members, contributing to our mission to make mass timber a mass-market building system.
As a crucial member of our team, you will ensure our Board Members remain engaged and informed, provide administrative and personal support to our CEO, and represent Massive Canada professionally in all interactions. Your efforts will significantly contribute to the efficient operation of our organization.
Key responsibilities include:
•Ensuring all Board Members are actively engaged through consistent communication and timely follow-up.
•Acting as the front-facing representative of Massive Canada and creating a smooth Board experience for all members
•Developing and sustaining an efficient system of Board & Committee manuals and policies.
•Coordinating with committee chairs to establish meeting dates.
•In collaboration with the Committee Chair/Co-Chair, preparing and distributing meeting agendas and minutes and ensuring document retention and archiving align with records management policies.
•Carrying out varied organizational tasks to support the Board's work and processes, including crafting follow-up correspondence and reports.
•Ensuring prompt and accurate communication of all pre and post-meeting details to the Board of Directors.
•Managing reception duties for incoming calls to Massive Canada across all locations.
•Providing consistent support to the CEO by proactively anticipating needs, managing administrative tasks, and handling professional and personal matters with the highest level of professionalism and care.
•Demonstrating absolute discretion while dealing with sensitive and confidential information.
•Maintaining the CEO's calendar, scheduling and rescheduling meetings, providing necessary briefings and reminders, and acting as a "gatekeeper" to optimize the CEO's time.
•Fostering positive relationships with all internal and external stakeholders while protecting the CEO's time.
•Other support duties as required.
What you bring:
- 3+ years’ experience supporting C-suite leader(s) and/or busy senior executives.
- College diploma or degree in Business Administration or equivalent combination of training and experience.
- Exceptional written and verbal communication skills, with the ability to draft professional correspondence and reports.
- Advanced-level experience using the Microsoft Office Suite of products.
- Mix of Public and Private experience is considered an asset.
·Skilled ability in diplomacy, adaptability, and managing changing priorities.
- Ability to type over 60 words per minute.
- Valid driver’s license with satisfactory driver’s abstract.
