What You Will Do
Independently provides administrative support to members of the Executive Leadership Team by:
  • Consolidating, coordinating and variance reporting for a variety of cyclical budget documents and processes, e.g., annual and monthly budget reporting, time-sheet and vacation coding and reporting.
  • Coordinating complex corporate governance and diligence compliance files/matters on behalf of the business, e.g., ELT and Board reports.
  • Coordinating complex company meetings, conferences and functions.
  • Arranging executive travel (domestic and international) with detailed itineraries.
  • Interacting with the Executive Leadership Team (ELT), Board members and high-profile external stakeholders to provide professional support services.
  • Coordinating and collating board documents for submission
  • Anticipating and initiating appropriate actions to conserve the leader’s time, e.g., manage his/her schedule, manage access, screen and respond to routine and complex e-mails and correspondence.
  • Managing and maintaining appropriate business files, ensuring adherence to corporate document retention policies and practices.
  • Providing area-specific knowledge to achieve desired results.
  • Forming strong partnerships with multiple internal stakeholders to deliver/provide value-added support.
Who You Are
  • Able to manage multiple priorities under pressure.
  • Character that is reliable, open, considerate and accommodating.
  • Able to establish, promote and maintain good public relations internally and externally, and deal with clients in a professional and courteous manner.
  • A dynamic individual who holds an administrative certification or equivalent experience, e.g., spreadsheet/database management, accounting and business math, business communications.
  • Excellent command of the English language (both spoken and written).
  • Demonstrate a high level of discretion, tact and diplomacy in dealing with senior level internal and external contacts, and highly confidential or sensitive information.
  • 7 years of directly related experience performing administrative duties and providing support to senior level management.
  • Able to manage relationships at all levels of the enterprise, including direct or indirect oversight of staff and/or contractors.
  • Advanced knowledge of Microsoft Office Suite of tools, applicable software, company databases, enterprise structure and standard operating procedures.
  • Able to work as an integral part of the Executive Assistant team.
