If you have lived in Vancouver for a while, chances are high you've been to the Vancouver Christmas Market. Now in our 13th season, our authentic outdoor German Christmas Market features unique holiday shopping, seasonal entertainment, and delicious traditional food and drinks. Located in the downtown core of Vancouver, at Jack Poole Plaza, the Christmas Market will be open to the public daily from mid-November to December 24.
Full-Time Employment Opportunity – Event Operations Coordinator
Vancouver Christmas Market Inc. is seeking a driven, and enthusiastic individual with event-related logistical experience. In collaboration with the VP of Operations, the role entails overseeing the entire operation of the event(s), from the set up & take down of the infrastructure to the supervision of suppliers and management of Hausmeister staff.
A successful candidate for this role is a creative thinker who understands the specific needs of the company’s seasonal events, while keeping in mind the larger components necessary for its completion. This candidate is a confident leader and efficient planner. Not only does a successful candidate need to be proficient in negotiating, but also have the expertise to manage vendors, suppliers and partners and provide direction.
This full-time position is a combination of home office and office days, becoming full time in office & on site from October to December.
Roles and Responsibilities
- Provide regular event support to VCM as assigned including inventory tracking and general market functionality with support of VCM's Hausmeister team
- Assist VP of Operations during initial inspections, as well as any ongoing inspections
- Assist with the production schedule
- Coordinate supplier move-in and move-out in collaboration with VP of Operations
- Act as point person for Operations when VP is off site
- Remain in constant communication with VP of Operations providing detailed updates.
- Manage a team of four or more Hausmeisters (handyman/woman)
- Liaise with third parties (service providers & partners) on behalf of VCM.
- Coordinate supplier services and infrastructure during planning, event and dismantling phases
- Assist Vendor Manager to ensure vendor related issues are addressed and successfully solved in a timely manner.
- Assist the Décor & Assistant Event Coordinator with decor installation and planning.
- Comply with strict standards of quality and accuracy.
- Manage warehouse inventory using our inventory software - Yellow Dog
- Attend all permit meetings with the VP of Operations
Requirements and Selection Criteria
- Diplomatic approach while working within policies, rules, and procedures.
- Ability to take projects from concept through execution to final production
- Excellent verbal and written communication skills
- Ability to lift up to 50 pounds and work in an outside environment for long periods of time.
- Valid Driver's license and access to a vehicle is arequirement
- Copywriting that balances quick wit and creative spirit with attention to detail and strategic approach
- Bachelor Degree or Diploma in a related field of study (an event management related degree is preferred)
- Experience with scheduling and overseeing the activities of large groups.
- Curious, Inquisitive, Creative, and a Christmas fanatic
- Excellent organizational skills and/or project management experience
- Ability to multitask within tight deadlines
- Second Language (German) an asset
- Demonstrative, self-critical, determined approach to completing assignments
- Motivated self-starter
- Ability to quickly adapt to changing environments, problem-solving skills, and an innovative mindset including exercising good judgment and decision making.
- Attention to detail
- Proven experience managing suppliers for events or festivals.
- Advanced proficiency with software and online tools (Microsoft Office, Square and Yellow Dog Software)
Compensation
- $60,000 (annual salary after training phase) or based on experience
