Job Description

The education coordinator is responsible for facilitating all aspects of the various courses that are offered through self-study, online virtual, and in-person formats including scheduling, back-end support, and reporting.


Responsibilities

Schedule & maintain calendar/instructors for courses

Create class registration links, provide dates and links to Marketing for the website

Advise marketing when class links should open and close (be put on the website and be taken down)

Assist with inquiries via phone & email in a timely manner

Assist with payments and invoicing

Monitor class registrations, and advise instructors if classes run or are canceled

Provide instructors with class lists, necessary documents/materials, invoices

Provide teachers and students with access to virtual classroom

Review exam results, create transcripts/letters/certificates for students, and upload to online profiles

Report to FSRA weekly results, via email for MAC and upload for Private, Out of Province, and Broker

Assist with Membership certificate distribution when needed

Process Policy Manuals when needed

All other duties as assigned

Key Competencies

Communication: This role requires communication with a variety of individuals: potential students, students, and facilitators.

·The incumbent must be able to articulate the Association’s policies and procedures such that the recipient of the communication can adequately understand what is required of them. Similarly, the incumbent must be efficient in its communication such that inquiries are adequately addressed.

Professionalism: This role will interact with professionals in the mortgage brokerage industry, including the regulator.

·The incumbent must be able to communicate professionally, hold himself/herself to the professional standards expected in the mortgage brokerage industry, and maintain the professional reputation of the Association.

Microsoft Office: This role requires the use of Microsoft Word, Excel, and PowerPoint

·The incumbent must be very comfortable using these tools on a day-to-day basis and is also able to learn new techniques or functions through reading instructions online.

Computer Literate: This role requires the use of multiple online tools to complete day-to-day tasks

·The incumbent must be comfortable using computers and accessing online tools, as the Association’s education resources are located in 3 different online locations/applications.

Problem Solving: This role is presented with issues that come up from students and facilitators, which are typically simple issues, but may escalate to complex issues.

·The incumbent must navigate the Association’s policies and procedures and the tools/resources available to find a suitable solution. Otherwise, the incumbent must be able to find a suitable solution that is relatively simple and cost-efficient to implement.

Time Management: This role requires the management of multiple deadlines and service-level expectations.

·The incumbent must be able to prioritize their time such that deadlines are met, while also meeting the needs of students and facilitators. This includes knowing when to ask for help and being eager to continue learning.
