We are currently recruiting for a Document Controller position with our enterprise client for a full time contract position:
Title - Document Controller
Duration: – 6 months
No travel required
Timings: Day shift 8-5
Job description:
The Associate - Document Controller (ADC) reports to a Lead Document Management Specialist. The ADC is responsible to implement Document Management following internal process on a project level. He/She manages project documentation deliverables by providing comprehensive document control and management system. He/She owns and maintains the project’s Master Document List which is the governing instrument for the process. The ADC is accountable for his/her own work related to the quality management of documents on the project and for supporting the team in making schedule deadlines.
Roles and responsibilities:
Document management process
• Use established procedures to define or to resolve issues related Document Management process definition and deployment on a project.
• Work in collaboration with PED and/or Lead Document Management Specialist to resolves issues outside of procedures' scope.
• Prepare the Project Document Control Procedure related to the Document Management on the project
• Ensure a complete knowledge of all Document management procedures and that they are adhered by involved parties (participating units, subcontractors)
• Follow-up the project documentation deliverables
• Organize ROE on Document Management according to project process together with Lead Document Management Specialist
• Ensure consistency and high quality within the project documentation
Document management system
• Conduct Documentation Management System training to new users
• Provide functional assistance to project team
• Create all necessary drawing lists/ document lists
• Manage all project document transactions for the company ensuring all relevant information is accurately recorded on the Document Management System
Client/partner interface
• Support PED to liaise with customers and partners to follow-up the project documentation deliverables
• Submit documents to customer
• Track customer comments and answers, along with document resubmission
• Manage customer return status of project documentation within the Document Management System
• Prepare transmittal with defined deliverables list & submission dates
• Record all necessary document receipts
Final documentation
• Provide all necessary assistance to the Site management for documents used during the construction phase.
• Record mark-up in accordance with Site Manager directly or coordinate this task if delegated to any participating unit
• Record final documentation for the project
• Support collation, storage and archiving of all project manuals with O&M Coordinator
• Archive all project documents at the end of the project in electronic and paper form if required
Monitoring & reporting
• Proactively monitor and maintain the document deliverables list with the guidance of the Project Director
• Produce weekly and monthly reports and statistics to inform the project team of the status of the documentation
EHS
• Execute with zero accident and without damage to the environment
• Ensure compliance with local regulations and policy
Basic skills & desired properties:
• Most suitable candidates will possess an Bachelor’s degree in Documentation or in Engineering, or equivalent experience
• English language proficiency advanced
• Experience of direct contact with customers and subcontractors’ representatives
• Good understanding of engineering processes and document control systems. General knowledge of engineering technical terms. Knowledge of substation design a bonus.
• Working knowledge of the following software:
• Microsoft Office package (Excel, Outlook, Word)
• CAD basic level-AUTOCAD or Microstation
• Adobe Acrobat Professional or BlueBeam
• Knowledge of Documentation Management System tool is a plus
• Quality oriented, Structured, and organized
• Strong Communication skills within project team members and management
• Disciplined approach
• Time management skills
• Proven analytical and organizational skills
