Position Summary
Reporting to the Sr. Director of the Project Management Office (PMO), the Portfolio Manager role’s primary responsibility is to lead and manage the OCIO portfolio which contains a dynamic set of business and technology transformation projects that enables the growth of PointClickCare. As the portfolio leader, you will ensure that your team of project/program managers mobilize cross-functional efforts throughout the software development lifecycle to develop enablement plans and deliverables, ensure organizational readiness, and then manage the launch of the solution from inception to operations in a way that maximizes the outcomes of our business partners such as Finance, Legal, Human Resources, Customer Success, Customer Experience, Professional Services, Customer Support & Operations, Product & Engineering Operations, Marketing, Sales & Partnerships, Mergers & Acquisitions, Acute & Payer
The Portfolio Manager role will also drive project methodology for the OCIO (Office of the CIO), delivering key value to our business partners through effective project delivery, prioritization, reporting and portfolio management. The role is also responsible for driving PMO process and policy and directing project/program managers to drive continuous improvements.
To accomplish all of this, you will need to use your SaaS technology & implementation experience, project/program management skills and business acumen to build effective cross-functional partnerships, influence the business, and use organizational skills to navigate ambiguity. You will work in conjunction with Technology & Business Leaders and cross functional teams to successfully launch key new projects. This is a highly visible role interfacing with all levels of stakeholders across the business.
Key Responsibilities
  • Diagnose the root-cause of issues in projects and resolve them effectively by partnering with Sr. Director, PMO, business partners and OCIO leaders
  • Manage and deliver various internal initiatives and special assignments as assigned
  • Collaborate with business solutions managers, OCIO leaders and business partners to prioritize projects based on company objectives in a dynamic and fast-paced business environment
  • Responsible for establishing, standardizing, and leading project management practices for multiple programs, across all areas of the business
  • Chair OCIO governance & processes (i.e. portfolio review board) to guide business solution managers and OCIO leaders
  • Lead and manage a robust portfolio of business and technology transformation projects in OCIO as the portfolio manager
  • Plan, and implement project management best practices and reporting capabilities to streamline project processes and procedures and maximize operational effectiveness
  • Provide the organization with leadership, direction, and coaching to achieve work objectives and improve performance and skills
  • Oversee resource capacity planning processes to support quarterly reforecasts and annual planning
  • Build a “learning community” of practice within the project delivery discipline in establishing a program of continuous improvement through assessment of internal and external best practices and lessons learned to achieve higher maturity in portfolio delivery & management
  • Improve and maintain an effective communications plan to ensure frequent, accurate, and timely communication to all stakeholders
  • Provide regular visibility to portfolio status (key decisions, dependencies, issues, risks, metrics) on a standard cadence and monitor the portfolio health
  • Drive OCIO strategy and roadmap development
  • Ensure adherence to project management standards across the entire program/project life cycle to include project management practices, tools and documentation of project artifacts
  • Act as the second point of escalation for issues raised by project/program managers, business solutions managers, business partners and OCIO leaders
  • Proactively identify challenges/risks in the portfolio and work with project/program managers, OCIO leaders, business solutions managers to develop appropriate mitigation plans
  • Build and foster relationships within the OCIO, as well as with our key stakeholders and business partners
Team Leadership & Development
  • Provide leadership and coaching for the team’s career planning and development programs
  • Build and support a best-in-class team structure to promote and continuously improve the demand and vendor management programs
  • Assist in employee recruitment, performance evaluation, promotion, and retention activities
  • Provide support to the team’s resource budget, including any external professional services funding expectations
  • Be accountable for the smooth running of day-to-day operations and for building and maintaining a culture of high standards of practice
  • Coach, mentor, lead and motivate a team of project managers, program managers and co-ops
Ensures projects are optimally staffed to effectively achieve milestones
Required Technologies
  • Working knowledge of Master Data Management with direct business experience in best practice design and reporting (BI) relationship
  • Working knowledge of Oracle NetSuite platform with direct business experience; this may include Sales Order Management, Audit & Fulfilment, Invoice & Presentment and/or Accounts Receivable (Cash Mgt.); direct PCI and/or ACH experience a plus
  • Experience with project portfolio and project management tools; examples include MS Project, Smartsheet or JIRA
  • All other technology experience in pricing & packaging/CPQ, contract & agreements (ex. Conga) subscription, billing, collaboration, and customer success a plus
  • Hands-on working knowledge of integration technology capability and design, including direct API and connectors (ex. Boomi), in Salesforce and NetSuite; all other technologies a plus
  • Hands-on working and administration knowledge of Salesforce.com, including but not limited to Sales Cloud, CPQ and Billing; CPQ Certification required; Billing Certification a plus
Required Experience
  • Possesses extensive knowledge of product development processes, the software development lifecycle, release management or customer journey, and lead to cash processes and systems
  • Experience in program management, product management, management consulting, corporate strategy, business operations or strategic planning in a SaaS Company
  • Robust business acumen and ability to partner with senior business leaders to drive initiatives
  • Design thinking, PMP and/or Certified Scrum Master (CSM) certification preferred
  • Ability to understand complex product functionality, design, and technical issues to drive the right priorities, trade-offs, and resolutions
