The Senior Portfolio and Project Manager Analyst is accountable for providing central expertise, support and control for an organization's technical projects / programs including:

  • Monitoring dependencies across multiple inter-related technical projects.
  • Provides Centralized Governance & Delivery Model to manage all work (in-flight & new, approved ideas, demands, and initiatives) across all product and services teams, to deliver incremental value to the customer.
  • Developing technical program / project management best practices / templates and providing training / mentoring to project teams.
  • Gathering and reporting consolidated technical project status and financial information to leadership.
  • If needed, provide full staffing and management for the organization's major technical projects / programs.
  • Serve as a central governing body to review / audit adherence to methodologies, budgets, and timing.
  • Consolidates portfolio information to prepare reports on progress and performance. Assists IT leaders to identify and address potential issues. Continuously improve processes and procedures in area of responsibility.


Accountabilities:


1. Portfolio Intake - 30%

  • Facilitate the new initatives assessment by ACG IT teams, including for urgent initiatives received through alternate channells
  • Provide results and outcomes of assessments within defined SLAs for ITSL Prioritization
  • Leads PPM IT work intake and automated pipeline for work and demand visibility, enabling appropriate demand recognition and forecast in concurrence with ACG IT capacity planning and fulfillment processes.
  • Document the assessment results, options and recommendations for each new initiative
  • Maintain current and updated records for all new MTI and ACG IT initiatives
  • Communicate assessment/ prioritization results and progress to MTI and ITSL
  • In colaboration with ACG IT teams document the requests for new initiatives impacting ACG
  • Facilitates the MTI and ACG IT work intake
  • Represent PPM to MTI and ACG IT sessions; make sure appropriate ACG IT teams are also invited, based on the meeting agenda


2. Resources Utilisation - 35%

  • Maintain records for all FTE and CON resources, including Start and end date, allocation, vacation and OOO.
  • Contract and network-access renewal
  • Resources shorfall forecast
  • Provides timely reports on
  • CON and FTE offboarding/ termination processes
  • Performs timesheets administration, monitoring, troubleshoting, data cleansig
  • Maintains the consolidated view/ dashboard of the multi-years delivery integrated roadmap
  • Weekly/ monthly timesheets for all team members
  • Timesheets approval by functional managers
  • New PM requests from ITSL, including clear requirements and business case approval


3. SOX, PPM Practice, Processes and Governance - 35%

  • Conducts root cause analysis for IT SOX findings in partnership with ACG Governance, Risk & Compliance (GRC) team, define Conditions for Closure on SOX findings (with GRC and Enterprise Audit), identify improvement opportunities related processes, take lead role in implementation and serve as IT Subject matter expert on IT SOX controls.
  • ServiceNow, Jira, Jira Plans, Confluence, SP Sites administration, maintenance, troubleshooting
  • Knowledge Transfer to other PPM Analysts: Creates and maintains training aids and facilitates training and refresher sessions
  • PPM Process owner for documentation, training, and effective governance over portfolio/project management tools, processes/ templates (Project/Program Governance structure, RACI, RAID etc.), PMO Best Practices (Playbook), etc. to maximize effectiveness and enhanced governance.


Qualifications:

  • Requires 5-8 years of related experience with technical project portfolio management processes and controls, developing and maintaining intake and resources governance and controls.
  • Expertise using ServiceNow, a detailed knowledge of Timekeeping and in ServiceNow is a must; experience using PPM module in ServiceNow, nice to have.
  • Relationship management with ACG and MTI/ ATSV stakeholders.
  • Experience using Atlassian tools (Jira, Jira Plans, EazyBI, Confluence), MS Project, MS Productivity Tools.
