ACTRA Toronto Director of Finance & Administration
(Maternity leave Coverage, ideally for 13 months with a start date September 1, 2023)
ACTRA Toronto, representing 15,000 members in film, television, commercials, and recorded media, is seeking a Director of Finance & Administration to cover maternity leave. Reporting to the ACTRA Toronto Executive Director, the Director of Finance & Administration works closely with the ACTRA Toronto Management Team, Council, Executive, and Finance Committee to prepare and manage the annual budget set by the elected ACTRA leadership. The Director of Finance & Administration oversees all Finance, Office Administration, and Human Resources functions.
Position Responsibilities include:
Finance
- Prepare accurate and timely monthly financial statements and notes.
- Provide advice and support on financial matters for ACTRA Toronto initiatives & events.
- Oversee flow of engager and member contributions to AFBS.
- Manage and maintain financial management information systems with support from ITDS.
- Develop, implement, and maintain financial policies and procedures.
- Prepare and analyze financial reports for presentation to the ACTRA Toronto Management Team, Council, Executive, and Finance Committee including variance analysis and forecasting.
- Oversee and coordinate annual audit with external auditors.
- Oversee payroll duties and functions, including bi-weekly payroll, issuance of T4 slips at year-end, related government filings, and time and attendance tracking.
- Oversee preparation of bank and account reconciliations.
- Liaise with Creative Arts Financial, a new division of FirstOntario.
- Lead the annual ACTRA Toronto budget planning process and assist management team with developing and monitoring department budgets.
- Manage cash and investments including strike fund.
- Oversee bookkeeper, accounts payable, accounts receivable, & data entry clerks.
- Ensure compliance with not-for-profit standards and practices.
Office Administration
- Oversee Reception and relief staff.
- Oversee and coordinate office renovations.
- Negotiate office equipment leases.
- Negotiate office lease and manage relationship with landlord.
- Oversee purchases of computers, furniture, equipment, and office supplies.
Human Resources
- Participate in negotiations and enforce collective agreements with COPE and USW staff bargaining units with ACTRA National as part of ACTRA’s Council of Employers.
- Partner with management team to identify team skills/competencies gaps and make recommendations for training and support solutions.
- Oversee administration of ACTRA’s staff benefit plan by AFBS.
- Participate in Joint Health & Safety Committee.
- Oversee staff recruitment, on-boarding, and performance evaluation.
- Oversee maintenance of personnel records.
- Initiate HR communications to staff.
Other
- Provide management support to member-run committees.
- Collect sponsorships in support of the ACTRA Awards.
- Coordinate purchase of ACTRA Toronto Promotional Items. Maintain promotional item inventory.
- Coordinate ACTRA Toronto Council Elections & By-Law Referendums with external voting company.
Qualifications
- Strong verbal and written communication and presentation skills.
- Experience working in a not-for-profit and/or unionized environment is an asset.
- CPA designation required, with at least 10 years in-depth experience at a senior level
- Ability to develop and maintain cooperative working relationships.
- Ability to identify, analyze, solve problems, and resolve conflict.
- Advanced computer skills including experience with SAGE, ADP, & Excel.
- Ability to effectively organize, prioritize, work under pressure, and meet deadlines.
- Experience in the Commercial, Film, Television and Digital Media Industry is an asset.
