POSITION SUMMARY:
The Project Coordinator manages all administrative responsibilities for construction projects, including compiling construction agreements, managing project management systems and tracking logs, onboarding subcontractors, providing document control, and communicating with all project parties. The Project Coordinator works with multiple departments, including project management, field management, compliance, financing, and executive teams.
RESPONSIBILITIES:
- Assist with the research and preparation of filed change requests to resolve design issues
- Track and create RFI’s, transmit and track submittals, compose agreements, and maintain project expediting lists
- Assist in plan and specification analysis to coordinate and provide a clear interpretation of design drawings for construction
- Maintain accurate and up-to-date RFI logs; track responses & advise the Project Manager and Site Superintendent of the status of RFI’s
- Assist the Project Manager in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval
- Assist the Project Manager in drafting and issuance of project proposals, budgets, cash flows and preliminary schedules
- Maintain and update the Shop Drawings Logs and review submittals
- Take and distribute meeting minutes
- Research and recommend solutions to design document problems; including conflicts, interferences
- Coordinates all aspects of preconstruction, construction, estimating, coordination, execution, and closeout for residential construction projects.
- Act as a liaison with subcontractors; expediting drawings, shop drawings and related information
- Works closely with Project Managers, Superintendents, Field Staff, Subcontractors, Design Consultants, Third Parties, City Officials, Utility Companies, and other internal Symphony Departments.
- Track and manage change notices and change orders in the database
- Ensure all required project close out documents are obtained
- Coordinate periodic photographs for relevant records
- Monitor field work and the project quality plan to ensure compliance with Symphony Homes building standards, procedures, specifications and codes
- Liaise with Accounting department on invoice inquires and monthly cost reports
- Coordinate submittals and procure all close-out documents, including warranties and operating maintenance manuals
- Perform document control functions in accordance with on-site policy and procedures
QUALIFICATIONS:
- Solid computer skills (Microsoft Office, Microsoft Project, Buildertrend, Procore, Bluebeam)
- Problem-solving and analytical skills with the demonstrated ability to work under pressure in professional manner
- Minimum 2 years of experience in working as a Project Coordinator, construction industry experience preferred
- Previous experience in residential construction projects is considered an asset
- BCIT Construction Program Management Diploma preferred
- Exceptional time management skills
- Excellent written and oral communication and interpersonal skills
- Demonstrated ability to handle pressure situations in a professional manner
- Organized, multitasker with the ability to set and manage priorities
