Role and Responsibilities:


1. Service Dispatch

  • Maintain open communication channels with field crew for updates and changes.
  • Partial responsibility to assign service calls to crews, ensuring timely responses to customer requests.
  • Ensure all service-related documentation is complete and accurate.
  • Coordinate and manage service dispatch in real-time.


2. CRM and Accounting Software Management:

  • Log customer interactions and work in Salesforce CRM for accurate record-keeping.
  • Ensure data accuracy and completeness within the CRM system.
  • Set up and maintain customer details, work orders, and invoices in both CRM and Accounting software


3. Billing and Invoicing Support:

  • Set up clients in Accounting Software.
  • Post cash, EFT, and credit card receipts to the appropriate accounts.
  • Semi-monthly preparation of Accounts Receivable (A/R) aging listings.
  • Follow up with customers on outstanding receivables.
  • Process credit card charges accurately and securely.
  • Preparing and processing invoices for clients.


4. Other Administrative duties as assigned


Required Qualifications:


  • Previous experience in service dispatch or coordination is highly desirable.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize and manage multiple tasks efficiently.
  • Previous experience in billing, invoicing, or similar skills are mandatory.
  • Familiarity with Salesforce CRM is a plus.
  • Proficient in using office software and tools.
  • Excellent communication skills, both written and verbal.


Important Role Details:


This is a 6 month contract with the opportunity to become permanent at the end of the contract predicated on work performance and the needs of the business.

    Monday – Thursday: 8:00 – 4:30

    Friday: 8:00 – 4:00
