Alumni Communications Assistant


The Alumni Communications Assistant is a key member of the Alumni Relations team which is responsible for creating lasting connections with Mohawk College graduates and keeping them engaged as partners, ambassadors, volunteers, advocates, donors, mentors and learners. Alumni Relations is part of the College’s larger Marketing, Recruitment and Alumni Division.


Reporting to the Director Alumni Relations the Alumni Communications Assistant is responsible for providing support for the coordination and implementation of Alumni communications. This involves acting on communication and solicitation strategies that build the Mohawk College alumni loyalty, increase the number of active alumni and support engagement via social media and online interaction.


Responsibilities


The duties of this position include, but are not limited to:


Digital marketing and social media


  • Creates and grows Mohawk Alumni voice across multiple social media channels including, but not limited, to blogs, websites, Twitter, Facebook, Flickr, Instagram, LinkedIn, YouTube, chat, etc.


Social Media


  • Encourages, drives and shares member-generated content, thereby increasing community participation. Identifies threats and opportunities in user generated content. Responsible for moderating all content in line with moderation guidelines.
  • Creates strong internal links with Mohawk College social media communities such as MSA, Student Life, Athletics, Library etc.
  • Proposes, designs and implements online contests in order to achieve communication goals. Ensures contests meets Mohawk’s legal requirements.
  • Generates, edits, publishes, schedules and shares daily content (original text, images, posts, video or HTML) that builds meaningful connections with key audiences, as well as overall college community.
  • Abides by the latest social media platform rules and governing standards, including privacy legislation, as well as Mohawk’s Social Media policy.
  • Coordinates, edits and publishes Mohawk Talks with Alumni Video series.
  • Selects and maintains online photo galleries.
  • Optimizes pages and content within each platform to increase visibility, quality and value.
  • Create and implement Alumni communications.
  • Supports Marketing social media team as a back up to cover off during peak periods, vacation coverage, as required.


Monthly enewsletters


  • Edits content and compiles information from a variety of sources for e-newsletters, including setting up web forms for information collection
  • Uses email software to send to 38,000+ mailing list of Alumni.
  • Understands and adheres to email marketing law including CAN-SPAM and CASL and follows guidelines and rules to ensure compliance. Liaises with Mohawk College Legal team for direction and updates regarding implications of these laws.
  • Coordinates content, production, editing and distribution of e-newsletters.
  • Adapts established organizational communications pieces and activities to appeal and be appropriate to the selected audience.


Alumni marketing and communication collateral


  • Works closely with graphic design and web teams to build communication materials such as signage, overall look/feel and messaging packages and printed collateral such as postcards and flyers.
  • Collects alumni testimonials and stories and shares content with internal stakeholders as appropriate. This includes scheduling, release of information processes, securing photography and videography as required.
  • Supports Student & Alumni Communications Coordinator and Alumni team on Alumni materials, collateral and communication.
  • Writes news releases, ads, backgrounders, fact sheets and other items, as required.
  • Creates alumni collateral, literature and other forms of communication (e.g. brochures, j-signs, posters, etc.).


Liaises, collaborates and communicates with internal college departments, external partners as required, other operational duties


  • Maintains confidentiality of information.
  • Other Duties as assigned.


Qualifications


The successful candidate will have:


  • Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
  • Completion of a 2 year diploma in a related field of study - Journalism, Public Relations, Marketing and Advertising.
  • Google Analytics, Facebook Insights, YouTube analytics, Social Media management tools is required.
  • Raiser’s Edge database training and experience (similar Database Management experience may be deemed equivalent).
  • Professionalism and discretion with sensitive and confidential information.
  • Experience with content marketing platforms, project management software, online registration systems, blogging software is considered an asset.
  • Minimum of 2 years’ experience working in communications / public relations role with special events and/or communications.
  • Experience in project management is an asset.
