Job Description

We have an exciting opportunity for you to join our team as an Administrative Office Coordinator. In this role, you will play a crucial part in keeping our virtual office running seamlessly, providing essential administrative support to various departments and contributing to our overall success.

Responsibilities:

  • Serve as the primary point of contact for internal and external stakeholders, providing exceptional customer service and addressing inquiries promptly.
  • Coordinate and schedule meetings, conferences, and events, both virtually and in-person, handling logistics and arrangements.
  • Manage and maintain digital and physical office records, ensuring accurate and organized documentation.

  • Support the onboarding process for new hires, preparing necessary documentation and facilitating orientation sessions.
  • Assist with the procurement of office supplies, equipment, and services, ensuring cost-effectiveness and timely delivery.
  • Assist in the preparation and editing of various documents, reports, and presentations.
  • Maintain office efficiency by implementing and improving administrative systems, procedures, and policies.
  • Assist in the coordination of travel arrangements, including flights, accommodations, and transportation logistics.
  • Coordinate and track expenses, invoices, and budgetary matters, ensuring accuracy and adherence to financial guidelines.

Qualifications:

  • Strong interpersonal skills, with the ability to work collaboratively as part of a team.
  • Proficient in using productivity tools such as Microsoft Office suite and Google Workspace.
  • Exceptional written and verbal communication skills, with the ability to effectively interact with individuals at all levels of the organization.
  • Strong attention to detail, with the ability to maintain accuracy in a fast-paced environment.
  • Adaptability and flexibility to thrive in a remote work environment.
  • Prior experience in an administrative or coordination role is preferred but not required.

  • Post-secondary education in business administration, office management, or a related field (or equivalent work experience).
