The Department of Healthcare and Family Services, Office of the General Counsel, is seeking to hire an Administrative Assistant to work within the Bureau of Administrative Hearings (BAH). The task range includes: Staff assistant to the Bureau Chief and the Fair Hearings Section Chief, responds to sensitive legal inquiries concerning hearings and final administrative decisions, serves as liaison with Manage Care Organizations for all Manage Care appeals, assists with developing and conducting training for office staff, drafts memorandums and executive summaries.
The ideal candidate will demonstrate the ability to exercise sound judgment in the identification of priorities, to work collaboratively with internal and external partners, to proactively address issues, and to ensure timely completion of all work. The ideal candidate will exhibit strong leadership skills to achieve set goals while demonstrating independent initiative and will possess strong written and verbal communication skills. The ideal candidate will demonstrate excellent organizational skills, the ability to record, track and maintain confidential information. Job Responsibilities- Serves as point person and liaison with Managed Care staff for all Managed Care appeals, including determining the validity of new appeal requests, registering, tracking and coordinating schedules
- Serves as staff assistant to the Fair Hearings Section Chief
- Responds to sensitive and controversial legal inquiries concerning hearings and decisions
- Serves as the Bureau training coordinator for on-going administrative support unit staff trainings
- Represents the Bureau Chief in office meetings and in public/private sector program/policy advisory committee meetings in conveying the legal requirements and policy considerations that the hearing process must follow
- Serves as office manager for the section
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above
- Requires two (2) years of professional experience in a public or private organization
- Requires knowledge, skill, and mental development equivalent to completion of (4) four years of college, preferably with courses in public or business administration
- Two (2) years of experience working with internal and external stakeholders
- Two (2) years of experience developing and conducting presentations for a legal office
- Two (2) years of experience working in a legal office assisting with hearings and appeal processes
- Extensive knowledge of technical legal reporting
- Intermediate proficiency in the use of computer systems to research, register and track hearing appeal requests, such as the Key Information Delivery System (KIDS), Client Database Program, and Integrated Eligibility System (IES)
- One (1) year of experience developing of training materials
- Two (2) years of experience responding to legal inquires maintaining confidentiality and handling sensitive information with professionalism
- Requires the ability to utilize and maintain state issued equipment such as a laptop
- Requires the ability to travel in the performance of duties, with overnight stays as appropriate
- Requires the ability to pass a background check
