Reporting to the Director, Legal, the Administrative Assistant will provide administrative and legal secretarial support to members of the Legal team. The successful candidate will have a high level of professionalism and ability to deal effectively with all levels within the organizational as well as external contacts.
Responsibilities:
- Assist with maintaining the Legal Entity Management Database.
- Assist with document management, including the enterprise content management system and offsite document storage.
- Assist the Legal department with various administrative tasks, including, but not limited to, managing email and calendars, planning meetings, corporate filings, handling incoming mail, payment of invoices and arranging for couriers.
- Prepare correspondence, memorandums, reports and spreadsheets.
- Supporting the coordination and implementation of team events and projects.
- Assist with Board and Committee meeting logistics, including scheduling meetings, arranging audio/video requirements, conference calls and hotel/travel arrangements.
- Any other tasks that may be reasonably assigned.
Qualifications:
- Minimum two years of administrative assistant experience.
- Positive and collaborative attitude.
- Excellent verbal and written communication skills.
- Adaptable and flexible individual who works effectively as part of a team.
- Ability to work in a highly-organized manner where attention to detail, accuracy and confidentiality are critical.
- Excellent time management skills with the ability to manage multiple priorities and deliverables.
- Strong computer skills (Excel, Word, SharePoint, PowerPoint, Outlook, database maintenance).
- Must have flexibility to assist with Board meetings outside of regularly scheduled work hours.
- Ability to work in a hybrid work environment (minimum 3 days in office/2 days remote).
