Purpose


To provide administrative support to the Project team.


Responsibilities


  • Prepare and distribute meeting agendas and minutes;
  • Coordinate meetings including sending calendar invites, booking meeting rooms and equipment, as well as catering (if required)
  • Source internal and external documents;
  • Use automated office systems to facilitate project research and meet work deadlines;
  • Liaise with Senior Project Manager and other staff to obtain information for special projects;
  • Maintain confidential records and filing of reports, correspondence, statistics and related material for ease of retrieval;
  • Project reporting;
  • Coordinate the tender process for new projects including; preparation of documents according to company style guidelines, word processing, document formatting, following up on outstanding requirements, proofreading (one word), document presentation including binding;
  • Filing – both hard and soft copies, maintain a register for easy reference.
  • Coordinate travel arrangements for project staff;


What You Will Bring


Technical and Industry Experience:


  • Strong communication skills, in particular written communication and grammar;
  • Previous experience in an Engineering environment will be highly regarded;
  • Willing to work overtime to meet project deadlines
  • Written/oral communication skills in French would be an asset.
  • Well organized with the ability to keep a multitude of tasks, documents and processes in an organized system;
  • Be flexible to work on a wide variety of projects, tasks and assignments, combined with changing prioritization;
  • Typing speed of at least 50 wpm;


Required


Education – Qualifications, Accreditation, Training:


  • Minimum 5 years experience as an Administrative Assistant ideally with a background in tendering.


Preferred


  • Proficiency in MS Office Suite: Word – Advanced, Excel – Advanced, Visio & PowerPoint – Intermediate.
