Job Description
Description:
The executive assistant is responsible for carrying out the day-to-day processes for one of Dominion Lending Centres top teams in the country. They will report to the team lead and coordinator on a daily basis. Daily tasks include but are not limited to scheduling, underwriting, document generation upon file approval, client liaison, file fulfillment, lawyer liaison, compliance and any other task(s) the team lead sees fit.
●Task based role - will need to work outside of the typical 9-5pm parameters and sometimes on weekends
●Time sensitive and must ensure deadlines are met
●Hybrid role that will require both in-office and work from home
●Review purchase and lease agreements and determine if anything is missing
●Review credit bureaus for any irregularities
●Submit mortgage requests via Velocity
●Review lender approval documents before sending to clients
●Book and monitor appraisals and/or market rents with various companies
●Fulfill files at various mortgage institutions ensuring all documents are collected from the clients and reviewed to meet the lenders requirements
●Send lawyer packages to each client’s lawyer for smoother closing and for collecting broker fees if applicable
●Upload, review and submit compliance packages 5 days before closing via Velocity
●Send requests for Google Reviews once files have closed ●Follow up with lenders/lawyers for broker fee payments upon closing ●Book meetings via Outlook, Google Meets, Zoom, etc.
●Monitor and update various campaigns and platforms via Velocity and DLC’s Intranet
●Bonuses/incentives will be considered upon annual review
Qualifications:
●Ontario mortgage license required (can take up to 90 days after hire)
●Knowledge of the mortgage/banking industry preferred
●Strong verbal and written communication skills in English
●Proficiency in Velocity, Microsoft office, Google (Gmail, Drive, Meets, Docs and Sheets)
●Ability to monitor multiple emails and group chats to keep clients and partners up to date
●Works well individually or in a team environment to meet deadlines
●Strong organizational skills is a must
●Detail oriented and goal driven
●Knowledge of reading and understanding income documents such as employment letters, paystubs, T4s, T1 Generals, T4As, Notice of Assessments, Notice to Reader/Business Financials, etc.
●Knowledge of using DocuSign
●Ability to deal with highly sensitive information maintaining a strong level of confidentiality
