- Long-term contract
- Monitor all work in progress (WIP) and work with support team and Business Unit Managers as required to ensure work does not exceed 60 days.
- Work with dispatcher to ensure maintenances and quoted repairs are completed within the month they are scheduled.
- Assist with vendor set-up and maintaining a local vendor list
- Assist the service team to arrange filing system
- Support the general operations of the project and service team
- Assist in maintaining documentation for authorization (purchase orders, letter of intent, signed contract, signed-back quotations and proposals)
- Assist in maintaining process and training documentation as they related to projects, contracts, billing, and dispatch
- Obtain health & safety documentation including WSIB, WHMIS, security clearances and insurance certificates
- Work with inside sales to ensure documentation is current. Documentation includes resumes, project descriptions, project references.
- Complete payroll and time summary entries to ensure the field team hours are submitted on time.
- Assist with data entry and tracking for purchase cards, purchase orders, and accounts payable.
- Support the Coordination and the completion of scheduled and unscheduled project, service and maintenance work through field technicians and sub-contractors to meet service quality and responsiveness targets.
- Must be extremely organized and able to multi-task
- Bilingual (English and French) is considered a strong asset
- Strong ability to meet tight deadlines
- Strong knowledge of computer applications such as Microsoft Office Suites
- Must be able to handle a large workload, strong time management skills
