Job Description

The Accounting Clerk is responsible for processing invoices submitted from vendors, reconciling employee credit card reports, processing Concur expense claims, and managing contract fee balances in corporate contract management system.


Responsibilities include:


  • Overseeing and organizing the Controller's email communication.
  • Conducting thorough analyses to identify any discrepancies between invoices and contractual agreements.
  • Reviewing and categorizing incoming invoices into ASC and Microsoft Dynamics GP systems.
  • Generating general ledger entries and facilitating manual payments in Microsoft Dynamics GP.
  • Monitoring contract fee balances to ensure compliance and prevent overages.
  • Verifying the accuracy of timesheet records submitted by external contractors.
  • Collaborating with Procurement staff and Contract Managers to resolve invoicing related matters.
  • Serving as the primary point of contact for vendors, addressing inquiries and resolving payment issues.
  • Providing support in month-end reconciliation processes.
  • Collaborating with the Senior Financial Accountant and Contract Managers to determine non-resident tax withholdings from contracts.
  • Maintaining vendor records within Microsoft Dynamics Great Plains.


Our Ideal Candidate:


  • Has an accounting diploma or related work experience
  • Possesses an understanding of Generally Accepted Accounting Principles (GAAP) and legislated tax reporting requirements such as GST and NRT
  • Is familiar with various contract management systems, Power BI and/or employee expense system such as Concur
  • Is well versed with various Microsoft Office products, specifically Microsoft Dynamics Great Plains


Success Measures:


  • You will know success in the first thirty days if you are able to understand the priorities within the group, re-prioritize as necessary, and how they contribute to the overall success of the organization. You will become comfortable with the fast-paced nature of the team and gain familiarity with our internal systems.
  • You will be able to look after your core responsibilities autonomously and be comfortable tackling any arising issues.
  • By 6-12 months, you will have become a subject matter expert using ASC and GP. You will have built trusting relationships with other teams and external vendors, and supported the objectives of the team using your accounting skills.
