ABOUT THE ROLE

Virtual Production House is looking for a highly organized and motivated coordinator to support the day-to-day management and operation of a fast-paced and growing production company and studio facility. You are a talented communicator, passionate about visual storytelling and thrive in busy creative environments. Prioritizing and multitasking in an organized manner, communicating with a diverse range of creatives, producers and executives internally and externally, you are responsible for the seamless day-to-day operation of the studio facility ensuring all administrative, scheduling and client-facing processes are optimized, supporting the internal departments and executives where required. Production experience is essential and an aptitude for communications is a strong advantage.
ROLES & RESPONSIBILITIES
- Production coordination and facility support during all internal and external production projects (facility safety procedures monitoring, facility access, studio support, production scheduling, etc.).
- Together with company execs and department heads, contribute and assist in the continued development and execution of the company's marketing & communications including social media presence.
- Organizing and coordinating company events (open houses, studio tours, networking events, etc.), contacting and securing vendors, and managing logistics.
- Help generate marketing & PR campaigns (writing articles, newsletters, press releases,etc.) and digital marketing content (photo, video, motion graphics) to actively promote the company’s services and online presence, leveraging the company network, brand identity, and creative assets.
- Day-to-day studio administration (supply management, filing, reporting, meeting minutes, studio calendar management), operations and project management support.
- Assisting operations with basic accounting and financial management tasks on a project basis (e.g collating expense reports and receipts, collating AP/AR invoices, etc.
- Coordinating studios and production office resources, managing facility booking calendars, ensuring studio safety and cleanliness, booking equipment/facilities maintenance and handling logistics.
- Acting as a company representative and first point of contact for new and existing clients and collaborators (phone, email and face-to-face), delegating leads and communications to relevant departments.
REQUIREMENTS
- Immaculate attention to detail, highly organized and able to multitask.
- Experience in marketing/social media and communications a key advantage.
- Degree in Film/TV, Marketing/Communications and/or Business Administration.
- Content creation experience – copywriting, photo, video, editing a key advantage.
- Experienced user of Microsoft Office (Word, Excel, PP), Adobe Creative Suite (Indesign, Photoshop, Premiere Pro), Google Suite, CRM & calendar management tools (Trello) and basic accounting processes (AP/AR invoicing, expense reports, etc.).
- Excellent written and oral communication skills, professional rapport with all key stakeholders.
- Experience in film/media production essential. On-set experience a strong advantage.
- Ability to take initiative and follow through on tasks and assignments.
