We are seeking a detail-oriented and organized individual to join our team as a part time Senior Administrative Assistant based out of the Calgary location, Nextron – A Division of Powell. In this role, you will be responsible for a variety of day-to-day administrative tasks as well as long-term quality-related responsibilities. The successful candidate will play a crucial role in maintaining efficient operations and ensuring compliance with quality standards.


Essential Responsibilities


  • Responsible for organized and proficient data entry, filing, managing and collecting documentation.
  • Overseeing the Quality System: Take charge of ensuring adherence to established quality control procedures and processes, maintaining high standards throughout the organization.
  • Enter purchase orders, provide client acknowledgements, track and update sales logs
  • Provide administrative support to the operations manager as well as department and intercompany staff.
  • Issue, track, and update and effectively manage RMAs (Return Material Authorizations)
  • Handle invoicing tasks and keep accounts receivable info up to date (client statements, invoicing process etc.)
  • Contribute to the annual ISO Audit, collaborating with the quality team to gather necessary documentation and support the audit process.
  • Manage document control activities such as tracking, submitting and receiving drawings, creating, and submitting MRB/VDRs (Manufacturer Record Book/Vendor Drawing Requirements).
  • Answer phones and emails while providing helpful, professional, and exceptional customer service reflective of the organization.
  • Support production activities by following up on action items from weekly meetings
  • Participate in planning quality meetings when necessary, including coordinating logistics, recording meeting minutes, and creating reports such as OFIs (Opportunities for Improvement), CARS (Corrective Action Requests), and PARS (Preventive Action Requests) to address quality-related issues and drive continuous improvement throughout the organization.
  • Other duties as required.


Qualifications


  • Familiarity with Material Resource Planning (MRP) systems and document control processes is an asset.
  • 1 – 3 years of previous administrative experience, preferably in a quality control, industrial, or manufacturing environment.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaborate effectively with cross-functional teams.
  • Excellent organizational skills, time management skills, and the ability to handle a high workload.
  • Strong attention to detail and ability to maintain accurate records.
  • Strong problem solving and decision-making abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of quality control standards and ISO requirements is an asset.


Working Conditions


  • Working in front of a computer for the majority of the shift
  • Job requires working indoors in an office setting


Physical Requirements


  • Using upper extremities to apply or exert a force up to 20 lbs.
  • Standing, walking, and speaking for long periods of time and typing, punching or applying pressure to an object with fingers and palm
  • Maintaining body equilibrium and agility to prevent falling when walking, standing, crouching, ascending or descending stairs
  • Bending the body at the waist, the legs at the knees, and extending arms and hands in any direction in a repetitive manner
