The Senior Capital Administrative Assistant with Daemon Defense provides support to the Program Managers with Daemon Defense. The Senior Capital Administrative Assistant is a key part of the Project Team, making sure that the projects are completed on time and within budget while maintaining the highest level of professionalism and confidentiality.

The Senior Capital Administrative Assistant with Daemon Defense will help to create a realistic timeline for all projects, following up with all team members to ensure everything is running smoothly, and tracking project progress in a variety of ways, outlined by their Project Manager. Further, the Assistant Project Manager takes a collaborative approach to implementing actions and activities which promote positive image and outcomes for Daemon Defense.
PLEASE NOTE: Seeking candidates with awareness and knowledge of government and health care, experience in working in an agile work environment with shifting priorities, maturity in dealing with executives and elected officials/community members. Strong writing and internet research skills preferred.
PRIMARY RESPONSIBILITIES
- Assist with training of new staff members as required.
- Managing and building relationships with multiple teams.
- Ensuring project team adheres to provided timelines and deliverables.
- Ensures all relevant documents and artifacts are stored in the appropriate project folders (SharePoint) as per the PMO framework and are readily available for scrutiny by the Program Manager, Executive Team, and Internal Audit.
- Other Duties – As assigned by management to meet the business needs of Daemon Defense.
- Managing day-to-day activities for the Project Management team.
- Assists the Program Manager in defining the project plan, activities, milestones, and resource requirements.
- Assisting the Project Manager with administrative functions and processes.
- Analyzing project data and producing progress reports.
- Managing escalation of issues and risks to appropriate business and technical stakeholders to ensure timely resolution to project impediments.
- Tracks scope changes and communicates them to the Project Manager.
KNOWLEDGE AND REQUIREMENTS
- 10 years+ experience in a Senior Capital Administrative Assistant role or related field preferred.
- Exceptional attention to detail and time management skills.
- Project management skills are an asset.
- Strong understanding of the Capital Construction field.
- Manage competing projects in proactive manner and provide updates on a regular basis.
- Ability to maintain confidentiality and interact with individuals at the highest levels of member organizations with superior customer service skills and diplomacy.
- Successful completion of post-secondary education in a related field.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint, M365) and project management-based systems.
- Project Management Certificate would be considered an asset.
- Excellent written and verbal communication skills and the ability to work well with all partners, clients and stakeholders of Daemon Defense.
- Must have outstanding organizational skills and ability to execute detailed plans. Anticipates issues affecting the Daemon Defense, heath care officials and staff members, providing support to the Program Managers.
- Excellent editing, research and analytical skills.
- Proficiency in transcription.
- Proficiency in entering and manipulating data within a database system.
- Ability to shift priorities and work under tight timelines and maintain a sense of composure and professionalism.
- Flexible and willing to take on and contribute to any project.
