Job Description

The Office of the Minister of Infrastructure is looking for a Scheduler & Operations Manager to join our team! The successful candidate will oversee day to day operations of the office such as managing assets, expenses, scheduling, and tracking appointments for the Minister.

Your responsibilities will include such things as:

  • Working closely with the Minister to organize all travel arrangements, including back to the riding, to local GTA events, across Ontario, Canada or international;
  • Finding substitutes for house duty when required;
  • Managing the Minister's schedule, and getting the Minister’s approval when presented with requests from the Ministry, the Premier’s Office, other Ministers and MPPs offices;
  • Additional responsibilities as assigned by the Chief of Staff and the Minister.
  • Working with the property managers to address technical issues within the office;
  • Working with the CoS to manage the office budget and the staff attendance system;
  • Preparing a daily binder for the Minister which includes all materials for the next day;
  • Tracking and inputting house duty, Caucus, Cabinet, and Treasury Board meetings while liaising with TBS and Cabinet Office;
  • Managing and tracking the flow of highly confidential government files into and out of the office;
  • Organizing and managing the office filing systems;
  • In coordination with the entire staff, review invitations in order to present recommendations to the Minister;
  • Organizing and filing expenses for the Minister, CoS and other staff members;
  • Managing human resources responsibilities in the office including the on-boarding of new employees;
  • Managing IT requests/issues for the office;
  • Ordering and maintaining office supplies;
  • Maintaining phone listings, distribution lists and Minister’s contacts;
  • Coordinating office activities and ensuring staff are supported as they carry out their day to day responsibilities;
  • Working with the Chief of Staff to ensure the Minister has the required committee binders, speeches, key messages and/or briefing material on a timely and often urgent basis;

Skills/Qualifications:

  • Work experience in a fast-pace environment
  • Experience with standard communication tools and software
  • High quality writing and verbal skills
  • Background in scheduling and regular office operations
  • Government relations and political experience considered an asset
