We are a dynamic and fast-growing startup with a mission to reduce e-cigarette and smoking consumption by providing innovative nicotine replacement therapy solutions and new technologies. As we continue to expand rapidly, we are seeking a highly motivated and detail-oriented recent graduate to join our team in the Operations and Administrative Manager position.
Role Overview:
As an Operations and Administrative Manager, you will play a vital role in supporting the day-to-day operations of our organization. You will be responsible for a variety of administrative tasks, as well as assisting with operational processes to ensure the smooth functioning of our business. This role offers an excellent opportunity to gain valuable experience and contribute to the growth of a dynamic startup.
Responsibilities:
1) Administrative Support:
- Provide general administrative assistance, including managing customer service calls, emails, and correspondence.
- Maintain accurate and organized records, files, and databases.
- Assist in preparing documents, presentations, and reports as required.
2) Operational Support:
- Assist in inventory management, including monitoring stock levels and coordinating with suppliers.
- Assist in coordinating logistics for events, meetings, and company-wide initiatives.
- Collaborate with various teams to streamline operational processes and optimize efficiency.
- Help maintain a safe and organized work environment.
- Support the procurement process by researching vendors, obtaining quotes, and issuing purchase orders.
3) Data Management:
- Collect, organize, and analyze data related to operational metrics and key performance indicators.
- Generate regular reports and presentations to provide insights and support decision-making processes.
- Assist in maintaining data integrity and accuracy within internal systems.
4) Cross-Functional Collaboration:
- Support special projects and initiatives as assigned by the management team.
- Collaborate with various teams, such as Sales, Finance, HR, and Marketing, to ensure smooth coordination and effective communication.
- Act as a liaison between different departments to facilitate information flow and resolve operational issues.
Qualifications:
- Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Strong analytical skills with the ability to collect, organize, and analyze data.
- Strong attention to detail and a commitment to delivering high-quality work.
- Bachelor's degree in Business Administration, Operations, or a related field.
- Proactive and resourceful problem-solving skills.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently as well as collaboratively in a fast-paced startup environment.
- Prior experience in a similar administrative or operations role is a plus.
