Job: Operations Administrator
Location: Oakville, Canada
This is currently a hybrid work schedule job assignment, twice a month in office.
Work schedule hours are from 8:00 a.m. to 4:00 p.m. or 9:00 a.m. to 5:00 p.m. est. Please state where your candidate resides in the summary portion of the resume. Please provide your candidate availability to interview at the top part of the summary portion of their resume.
Candidate must have a great attention to detail.
Key Responsibilities:
• Process corrections on all account types when errors are made by the field, Head office, other dealers and fund company.
• Ensuring daily service levels are met with internal and external partners
• Correcting deposits, tax receipts, financial and non-financial errors.
• Correcting tax receipts
• Monitoring a department in-box
• Monitoring the suspense account on a daily basis
• Initiating and following up and completing the correction.
• Working with other teams to complete the correction
• communicating with the Advisor or Assistant directly as needed
• Using Dataphile tracking, or any other tracking tools, maintaining and reporting progress updates regularly to the team;
• Maintains accurate records of transactions in order to interact effectively with clients;
• Identifies and or updates internal or external reference guides as necessary
• Identifies and solves most basic and complex problems based on an understanding of the customer's needs, using investigation and established processes, procedures or guidelines;
• Responsible for recognizing the need to redirect more complex problems or escalate potential patterns to senior team members;
• perform other duties as required.
Qualifications:
• Minimum of 2 years’ experience in the financial services or investment industry, or at least 2 year’s experience in a dealer back office;
• Required to complete any and all Anti Money Laundering, Complaint Management and PIPEDA courses
• Ability to identify patterns or connections and problem solving;
• Superior attention to detail and accuracy;
• Experience in Dataphile is an asset;
• Demonstrated proficiency in MS Office (Word, Excel) skills;
• Successful completion of IFIC Operations Course in an asset.
• CSC/CPH/IFIC Sales or IFIC Operations preferred
