THE POSITION


Provide project management, support and recommendations for process and system improvements to the Executive Director increasing value & efficiency while reducing costs; Consult and collaborate on an ongoing basis with individuals across departments to leverage integration of common goals and achieve successful project outcomes; Propose & implement solutions for optimal communications with Primary Care, Customer Facing Teams (CFT); Organize and ensure effective execution of Customer Facing Teams (CFT) operations and various meetings/events/conferences, on Budget. Ensure communication platforms(Customer Experience Orchestration(CEO) portal, MyBI, CFT Newsletter) are maintained with current updates. Support departmental budget tracking. Ensure Standard Operating Procedures (SOP) are current. Address Compliance requirements as required. Implement administrative elements of the incentive compensation cycle and provide administrative support for the Executive Director and Regional Customer and Account Directors (RCADs) as needed.


Responsibilities


Project Management:


  • Communicate and negotiate effectively with stakeholders in a solutions and results driven manner. Stakeholder groups include: CFT, Customer Marketing, Medical, Customer Experience Operations (CxO), Healthcare Affairs, IT, Purchasing and other departments.
  • Ensure the execution of compliance-related requirements from global & Innovative Medicines Canada (IMC); Ensure Standard Operating Procedures (SOPs) are updated regularly (e.g. CFT SOP).
  • Under the direction of the Executive Director, offer support for key business projects from inception to delivery including: developing project plan, budget, timelines, milestones and issues management. (Examples include roll-out of new hardware & technology, implementing new communication systems & tools, ShareRoom projects, etc.)


Meetings, Conferences, Budget & Administrative Support:


  • Offer support for processes related to budgeting, CFT budget control for CFT in collaboration with Medical Affairs, compliance requirements and national/regional conferences as required.
  • Assist with the coordination of attendees for both virtual and face-to-face meetings (e.g. National Business Meeting (NBM), Managers' meetings, cycle meetings, etc). Work with Meeting Planner (Purchasing) & AMEX. Build and deploy NBM app.
  • Act as HP CFT representative for various committees (e.g. GARD (Health and Safety), OneView etc.)
  • Responsible for meeting planning & coordination for CFT leadership (less than 10 attendees), capture minutes and follow-ups. Ensure communication platforms such as MyBI & CEO Portal are kept current.
  • Support Budget Monitoring for Promotional Budget delegated to Sales. Liaise with Finance and Regional Customer Account Directors (RCAD) to track and steer budget.
  • Provide administrative support to the Executive Director and the Human Pharma (HP)Business Support Manager ( e.g. creating POs, finance reconciliation through Global Business Services (GBS) systems, Concur, etc.).


Support Sample Management:


  • Quarterly Sample Allocation Process in alignment with RCADs and District Customer Account Managers (DCAMS).
  • Craft and communicate the Sample report in collaboration with Marketing.
  • Sample Approvals in the Online Ordering System (OLOS).


Process Improvements:


  • Map out business processes as assigned, either by creating new business protocols/processes or improving existing ones. This includes in-depth analysis of existing processes and ongoing monitoring to ensure that these are continuing to meet business needs. Documentation should include SOPs and management thereof.
  • Communication of process improvements and SOPs.
  • Improve the communication process between head office and all field based personnel, utilizing MyBI, Bi-weekly Pulse Newsletter and other tools; Identify gaps, propose solutions for review/approval, and execution/implementation
  • Optimize the preparation of meeting tools/platforms for the CFTs ensuring alignment and cross functional coordination with external communication providers.


This position is based in the Burlington, Ontario office located at 5180 South Service Road and is flexible.


Employees in flexible roles are required to be at the office a minimum of 50% of the time each month and must report to the office when requested and required by their Manager/Department.


Requirements


  • Effectively manage multiple projects with strict deadlines; Maintain confidentiality.
  • 3-5 years experience required in a process compliant role within a fast-paced work environment. Experience managing projects and working with external vendors and suppliers is required.
  • Strong communication, sense of initiative, collaboration, solid judgment and problem solving skills.
  • Excellent organizational, time management skills and attention to detail.
  • Experience with Sharerooms, Formgen, Canvas and Adobe Campaign is preferred.
  • Experience with Excel, Word, Visio, PowerPoint, Microsoft suite.
