Job Description

As a Scheduling Coordinator you will be responsible for the critical day to day scheduling of all patient care employees, including coverage for daily and ongoing absences, overtime/extra hours and ensuring maintenance of timely and accurate schedules in the Human Resources Information System (Quadrant). Additional responsibilities include but is not limited to payroll processing, vacation approvals, and collective agreement administration. Providing support for the assigned team in their daily activities to ensure that patients receive prompt, effective customer service.

What will you do?


  • Respects ethnic, spiritual, linguistic, familial and cultural differences
  • Review and process requests for planned absences (i.e. vacation, float time, union leave, education, etc.) for unionized employees based on Patient Care team quotas and seniority
  • Creates and posts schedules on the HNHB HCCSS Intranet
  • Assigns and fills vacant shifts with some independence based on pre-determined criteria, and seeks management guidance when deviations are required to address operational priorities
  • Notifies management as required for follow-up
  • Monitors Attendance Line several times per day
  • Monitors absence line and fills the shifts for unplanned absences
  • Provides an overview of scheduling for new staff
  • Confirms casual/relief staff schedule with Patient Care leadership team on a weekly basis
  • Works with payroll personnel to make adjustments where appropriate
  • Contributes to the professional growth of the HR team through active participation in and contribution to the achievement of departmental priorities
  • Enters planned and unplanned absences in HRIS (Quadrant)
  • Completes biweekly Time Verification Report review and makes corrections to the schedules
  • Maintains and assigns daily HR Support-Line tickets and completes task/request within 48 hours


What you must have?


  • Experience related to the specific portfolio (Patient Care Administration or Scheduling)
  • Knowledge of HRIS (Quadrant)
  • We have a mandatory COVID-19 vaccination policy. As a condition of employment, all employees are required to submit proof of COVID-19 vaccination status prior to start date.
  • Good working knowledge of computerized payroll system
  • Post-Secondary Certificate or Diploma in Office Administration or equivalent experience
  • Good knowledge of HNHB HCCSS operations and organizational structure, Collective Agreements (i.e. entitlements, scheduling processes, Letters of Understanding)
