Purpose: The Finance Manager will take a leading role in ensuring the financial health of AMSSA by developing and/or managing and analyzing AMSSA’s financial and budgetary processes in consultation with the Bookkeeper and Chief Executive Officer. The manager will supervise the Finance Administrator and will advise and work with staff on finance-related procedures. This role will execute and/or oversee accounting, payroll, budgeting, reporting and otherwise relevant tasks to support the organization’s financial operations.
Reports to: Chief Executive Officer
Salary: $40.00 per hour – eligible for benefits after three months, plus comprehensive benefits package
Hours & Location: 35 hours per week – combination of working from home and working from AMSSA’s office location at 4445 Norfolk Street, Burnaby, BC

DUTIES
General Accounting
- Oversee accounting functions and maintain records including bank reconciliations, maintain subledgers and collections
Accounts Payable
- Establish AMSSA’s EFT and online banking systems including protocols, procedures and processes in collaboration with AMSSA leadership
- Support AMSSA signing authorities in AMSSA’s payment systems
- Input accounts payable
- Ensure vendors are accurately set-up in the accounting system including overseeing the creation and implementation of a purchase order system
- Oversee the verification of AP requisitions and maintain AP system integrity including proper filing
Accounts Receivable
- Oversee accounts ensuring that fee for service or other outstanding payments are followed up on
- Oversee and support invoice creation for membership, fee for service, funder and other payments as required
- Oversee and manage receipt and proper deposit of payments
Payroll
- Liaise with the Manager of People, Culture and Engagement on staff contracts, documentation and curation of personnel files in HUMI (HR software) and ensuring that payroll is up-to-date
The following functions are currently performed by the AMSSA Bookkeeper, with the intention of shifting the duties to the Finance Manager
- Create payroll journal entries and hours allocations
- Update and maintain ADP records, prepare and submit monthly RRSP payments and administration of the benefits plan
- Review and payout staff reimbursements and allocation
- Maintain payroll records / T4's and reconciliation
Budgeting
- Support AMSSA staff in the proposal writing process by creating proposed activity, project and/or program budgets
- Work with AMSSA leadership on program and operating budgets as needed including support with revisions for contract amendments, provide up-to-date monthly statements, support with budget tracking and slippage projections
- Support AMSSA staff with budget tracking andpayment requisition
- Maintain funder files and documentation including preparing annual and periodic budgets and cash flow forecasts
Forecasting
- Work with AMSSA leadership on contract amendments and slippage projections by preparing and revising cash flows and forecasts for funders as needed
Reporting
- Prepare funder-related financial reports and invoices, including monthly financial statements for the CEO and AMSSA Board of Director’s Finance Committee
Obligations and other Duties
- Prepare Statement of Renumerations (T4A and T4A summary) annually in February
- Prepare quarterly WCB reports
- Prepare annual documentation including GST, Charitable Tax Return, NPO Return, T2 return
- Support the AMSSA team on emerging projects as needed
- Liaise with AMSSA appointed auditors and lead the preparation of the annual audit including support with the compiling documentation and required information
- Attend AMSSA Board of Director’s Finance Committee meetings and other finance-related meetings
QUALIFICATIONS
- High degree of accuracy and attention to detail
- Ability to translate financial and accounting concepts into accessible language
- Commitment to upholding confidentiality and integrity
- Relevant experience in bookkeeping, payroll, and budget-related tasks
- University degree(s) in a relevant field(s), such as business, commerce, or accounting
- Must be legally able to work in Canada
- Strong logical, organizational, and analytical skills
- Excellent written and verbal communication skills in English
- Excellent time management techniques
- Ability to work independently, while being a collaborative and communicative team member
- Excellent skills in Excel and advanced computer proficiency in Word, Outlook, MS Teams, and SharePoint
- Demonstrated knowledge and experience with accounting and payroll software including Quickbooks Online and ADP
- Adaptive and responsive in a dynamic work environment with shifting priorities
- Understanding the funding environment of a not-for-profit organization with multiple government funders
- Demonstrated experience as a supervisor or similar role leading a direct report
- Professional accounting designation required
- 3+ years of relevant experience
- Relevant experience with financial management and knowledge of Canadian generally accepted accounting principles for non-profit organizations
- Experience using software such as Humi, Zoom, and ClickUp is an asset
