The successful applicant will work in compliance with all relevant and applicable legislation and Hospital Policies and Procedures, will practice the Bluewater Health Standards of Performance Excellence and will fulfill their role within the Attendance Support Program parameters. The successful applicant will also possess effective communication and interpersonal skills, will have the ability to work independently and as part of a team, and will have strong attention to detail and accuracy.


Qualifications:


  • Post-secondary education in Business/Administration/Commerce preferred
  • Successful completion of a college diploma in Office Administration, or equivalent required

Minimum of three years of relevant experience in similar functions:


  • Financial mechanisms and systems, bookkeeping.
  • Filing and maintaining a reminder system;
  • Preparing reports, correspondence and various administrative documents;
  • Making travel arrangements;
  • Working with the following software: Office 365 Suite and financial reporting systems (such as NAV);
  • Coordinating activities in an executive office;
  • Developing work plans and forecasting of budgetary requirements;


Knowledge of:


  • Cultural institutions and/or the tourism industry.
  • Procurement and contracting procedures, systems and regulations;
  • Human resources, administrative and financial practices and processes;
  • Office administration procedures and processes;

manager promoted a full time employee from another different department to a full time position in my department that I was more than clearly trained and accomplished for ..Me being a success as a part time employee at the same job would have been the most reasonable choice ..It did not matter to the manager even if I left the hospital .. Manager did not value my work in my opinion so I chose to sadly leave to find full time employment..

Skill, Ability and Experience:


  • Demonstrated proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Access, Visio), Adobe as well as template and form development; use and development of data bases and capable of managing content within a web portal internet/intranet required
  • Ability to condense complex discussion into accurate, binding motions/minutes of meetings required
  • Proficiency in executive office processes; including financial and legal concepts required
  • Experience with Share point preferred
  • Highly developed critical thinking skills, decision-making, conceptualization and problem solving ability required
  • Ability to set priorities, plan, organize, file, execute duties, balance priorities and meet deadlines required
  • Ability to maintain discretion and strict observance of confidentiality required
  • Three years’ experience in an Administrative Assistant role required with experience in a senior role preferred
  • Willingness to work flexible hours to meet demands of projects/processes/meetings required
  • Knowledge of meeting procedures required
  • Ability to interact with a diversity of individuals in a broad range of situations, with tact, diplomacy and discretion; with the ability to diffuse potentially volatile situations required

Principal Duties:


  • Assists in development/presentation of projects and committee work
  • Assists in developing and achieving objectives and goals by coordinating activities with multiple agencies and or committees
  • Responsible for managing the day-to-day office operations and acts as a liaison with the Executive Lead and stakeholders
  • Performs varied secretarial/clerical functions in a confidential manner including photocopying, mail sorting and distribution, transcribing letters and memoranda, transcribing and distributing policies and procedures, newsletters, etc.
  • Provides administrative support and coordinates the appointment schedule for the Executive Lead in a professional, efficient and confidential manner
  • Functions as a member of the Sarnia Lambton Ontario Health Team
  • Provides administrative support to the whole of the SL OHT
