Document Specialist - Bilingual English/French –
- Partnering with service representatives, implementation specialists, clients, and advisors to clarify a GB plan’s design so final output accurately reflects customer expectations
- Understanding and analyzing customer needs to recommend system setup that supports those needs
- Working with clients and internal partners:
- Participating in projects, as requested and where possible, to ensure service standards are met
- Assisting in document configuration management
- Assessing and negotiating target deliverable dates to meet client expectations, demonstrating sensitivity to customers' business needs
- Ensuring documents include correct spelling/grammar
- Responding to inquiries from internal business partners
- Preparing/packaging/publishing completed documents (for delivery to clients)
- Processing New Business documents and/or revisions of documents per established service standards (to ensure accuracy and adherence to timelines)
- Investigating and resolving escalated issues or complaints
- The focus of the Group Benefits (GB) Documents team is to provide an excellent client experience through the successful set up of new business documents (e.g., contracts and booklets) and the revision of these documents when needed
- Supporting departmental initiatives, as required
- Documentation:
- This role demands strong technical skills, workflow management ability as well as a passion for both high quality client service and relationship management
- Interpreting a customer’s GB plan design details and seeking clarification, as needed, to ensure the "right" outcome/customer satisfaction
- Using Microsoft Word to implement changes and updates to documents
- Maintaining the departmental write-up database/repository
- Processing documents using prescribed/department tools and workspaces
- Ensuring safeguarding of those documents deemed “sensitive” in nature
- Managing work priorities in a multifunctional environment
Document Specialist - Bilingual English/French – Mandatory Skills
- Ability to multi-task to achieve delivery dates
- Analytical, organized and a self-starter
- Verbal and written skills in French and English
- Experience in formatting documents
- Negotiation skills with the ability to work towards acceptable outcomes; offer solutions
- There is a need to respond to inquiries in both languages and be able to understand GB plans written in French
- Possess high attention to detail
- Degree or diploma in Communications, Technical Writing, Literature, or a combination of acceptable work experience
- Experience in a service admin role
- Experience in editing and revising documents
- Ability to work under pressure, meet customer needs and adapt to a changing environment

- Interpréter les détails de la conception du plan d'entreprise d'un client et demander des éclaircissements, le cas échéant, pour garantir le "bon" résultat et la satisfaction du client.

- Maintenir la base de données/le référentiel de rédaction du département.
- Participer à des projets, sur demande et dans la mesure du possible, afin de garantir le respect des normes de service
- Collaborer avec les représentants des services, les spécialistes de la mise en œuvre, les clients et les conseillers afin de clarifier la conception d'un plan d'action pour que le résultat final reflète fidèlement les attentes du client
- Évaluer et négocier les dates cibles de livraison afin de répondre aux attentes des clients, en faisant preuve de sensibilité à l'égard des besoins commerciaux des clients.
- Assurer la protection des documents jugés sensibles par nature.
- Expérience de la mise en forme de documents
- Capacité à travailler sous pression, à répondre aux besoins des clients et à s'adapter à un environnement changeant.
- Compétences verbales et écrites en français et en anglais
- Expérience de l'édition et de la révision de documents
- Posséder un grand souci du détail
- Aptitude à la négociation et à la recherche de résultats acceptables ; capacité à proposer des solutions
- Capacité à effectuer plusieurs tâches à la fois afin de respecter les délais de livraison.
- Il est nécessaire de répondre à des demandes dans les deux langues et d'être capable de comprendre les plans du CE rédigés en français.
- Expérience dans un rôle d'administration de services
- Diplôme en communications, en rédaction technique ou en littérature, ou une combinaison d'expériences professionnelles acceptables
- Esprit d'analyse, sens de l'organisation et esprit d'initiative
