Working Arrangement
In Office

Key Accountabilities:
  • Escalate more serious matters to the Conference Center Manager for resolution
  • Address other administrative tasks, e.g., ensure compliance to corporate confidential policies and procedures for all meeting/events for Conference Center operational excellence; report facilities issues through the Building Engines request system; provide back-up support for the Corporate Real Estate Administrative Assistant including but not limited to responding to ServiceLine and locker requests
  • Review and identify meeting/event objectives with client and discuss requirements, including the size of the meeting amenities. Ensure that all options are identified to the Conference Center Manager to meet client requirements and Conference Center safety procedures.
  • Complete meeting utilization reporting on a monthly basis
  • Work with Meeting Room Technology Team to block off rooms for repairs and upgrades and coordinate room changes for clients as a result
  • Maintain impeccable physical appearance of the Conference Centre and meeting rooms and ensure property maintenance and report physical repairs as required
  • Schedule bookings in a timely manner that can accommodate set-up changes while ensuring the Conference Centre is supported during business hours – including presentation rehearsals prior to actual meetings.
  • Respond to or appropriately refer all requests that come in by phone, email or in person
  • Confirm necessary support services with client, coordinate and ensure that all are on schedule ahead of the meeting and ensure proper set up. Support services include Meeting Room Technology technicians, furniture movers for room set-ups, caterers (coordinate set-up/tear-down timing to accommodate other meetings), and cleaning staff.
  • Assist with meeting room set ups as required. This includes but is not limited to moving tables and equipment
Job Requirements
  • Post-secondary degree/diploma or equivalent business experience
  • Experience with meeting room technology an asset, or willingness to learn
  • Two or more years of event/meeting planning or related work experience
  • Adherence to deadlines and follow up to get necessary inputs
  • Strong attention to work products/details
  • Strong facilitation, organizational, verbal, and written communication skills
  • Self-starter, highly organized
  • Demonstrated ability to handle multiple tasks and effectively organize work assignments
  • MS office (Outlook, Teams, PowerPoint, Excel, Word, Sharepoint) required
  • Superior customer service skills required
  • Able to work independently and within a team structure
  • Strong organization and time management skills with the ability to maintain effective relationships
  • Ability to multi-task in a timely and professional manner and handle large volumes of requests with frequent interruptions. Often must respond to immediate business needs
  • Capable of technical training on Conference Center equipment to provide back-up support
Working Conditions
Conference Centre operating hours are routinely Monday - Friday during business hours. However, Conference Centre services typically begin in the early morning prior to the start of business day, and meetings, events and services can extend into the evening following the end of the business day. The incumbent will be flexible in working hours to accommodate as needed. This is an in-office role with some flexibility to work from home on occasion.

The annual base salary for this role is listed below.
Primary Location
Waterloo, Ontario
Salary range is expected to be between
$41,025.00 CAD - $68,375.00 CAD

The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
