Position Summary


Under the supervision of the Director, Administration & Operations, the Associate Director, Facilities heads the Facilities Team at the MNI and is responsible for leading and planning concurrent facilities projects, ranging in size from small to large, collaborating with multiple stakeholders to ensure the successful delivery of all projects. The Associate Director, Facilities will be responsible for maintaining and developing relationships with various stakeholders across public and private sectors. The Associate Director, Facilities is also responsible for the good functioning of research and administrative spaces, the overall structural well-being of all MNI buildings, and the maintenance of administrative agreements.


Primary Responsibilities


  • Manage the internal MNI project list by analyzing space and/or equipment requests, prioritizing requests, developing project timelines and project cost estimates, securing needed external professionals including architects, engineers, and contractors, secure internal resources from trades, and communicating with internal departments in a consistent manner.
  • Manage special projects or requests related to facility structures, base equipment or researcher supplies.
  • Member of the Montreal Neurological Institute Space Committee
  • Maintain administrative agreements; interact with the MUHC and McGill regarding shared space arrangements.
  • Establish and foster effective working relationships with the Director’s office, researchers, and department heads. Act as the primary liaison for the Faculty of Medicine, McGill Facilities, and MUHC stakeholders.
  • In conjunction with McGill Facilities, external suppliers and internal department heads, oversee major infrastructure projects from a planning and implementation perspective, ensuring MNI requirements are met, in a timely manner and on budget.
  • Manage the MNI Facilities team, including team development and succession planning.
  • In a collaborative manner, establish building policies and guidelines regarding space management, core equipment, storage, and general building use.
  • Work with McGill Facilities Management and Ancillary Services and the MUHC to ensure building security, safety, fire prevention, maintenance and cleanliness. Perform regular building inspections and make recommendations regarding health & safety, building codes, etc.
  • In a collaborative manner, liaison with key stakeholders to prioritize, design, cost and plan major space refit projects. Communicate space plans to impacted parties and report status to stakeholders in an effective and consistent manner.


Other Qualifying Skills And/or Abilities


The ideal candidate will have at least 5-7 years of leadership experience in a similar facilities project management role in a large, multi-site organization where he/she has managed the planning, conceptualization, and design of major facilities projects. University educated in a relevant discipline. Priority given to candidates who are certified members of one or more of the following: l’Ordre des ingénieurs or related, Ordre des Architectes du Québec du Québec or related, and/or Project Management Professional (PMP) or related. Experience in healthcare, a hospital setting, or university setting would be ideal. Knowledge of construction industry practices; experience managing general contractors; experience managing or knowledge of trades including electrical, plumbing, HVAC and other building systems. Goal-oriented, with a high level of initiative, and able to exercise independent judgement. Strong analytical background, problem-solving, project planning expertise, flexible, and must be client focused. Strong communication and interpersonal skills to collaborate with architects, engineers and other professionals. Possess a breadth and depth of knowledge across a range of sustainability topics related to facilities management and operations. Ability to respond to emergencies after hours and on weekends if necessary. Incumbent is required to be part of the on-call schedule.


Proficient in AutoCAD. Knowledge of Smartsheet an asset. Experienced in budgeting and forecasting unit expenditures. English / French, both written and spoken.
