As the Airport Procurement & BI Specialist will be responsible for managing the end-to-end procurement cycle and maintaining all business intelligence tools. In this role, you will work within the Commercial Operations Department and will be responsible to sustain a robust contract management process in place. You will have oversight of the entire Request for Proposals (RFP) process and contract management while working closely with key stakeholders. You will report directly to the Manager, Strategic Procurement & Partnerships.

What You’ll Do

• Liaise with different departments and vendors to ensure clear and concise preparation of documents
• Populate and maintain contracts within procurement system (AirPas)
• Work with executives and support all administration activities pertaining to contract management
• Ensure the assembly and maintenance of contract records, for the purpose of administering contracts
• Manage bidding process, including bid period
• Liaise with Accounts Payable and Vendors to resolve invoice discrepancies
• Control modifications to the contracts, negotiating requests for modifications, and claims, if necessary
• Facilitate contract induction meetings ensuring that all team members are conversant with obligations as stipulated in the Contract
• Prepare and issue contract documents for signature
• Identifies and reconciles routine and complex data input discrepancies
• Ensure consistency and quality amongst all vendor contracts
• Maintain vendor contact through professional letters and communiqués
• Maintain KPI reporting for the Commercial Operations Department
• Control and manage the Ground Ops (BI) Dashboard, ensuring accuracy of data
• Assists in providing statistical data on airport and vendor performance management
• Extracts and compiles information from databases to produce specialised reports
• Conduct a pre-qualification process of prospective bidders. Prepare and obtain approval of bidder lists
• Review, analyze, and support business cases internally and externally
• Prepare and launch Requests for Proposals
• Develop and maintain RFPs and SLAs (Service Level Agreements)
• Other duties as required

What You’ll Need

• Experience working with procurement systems an asset
• 3-5 years experience supporting a team in an administrative role
• Advanced knowledge of Business Objects an asset
• Airport and/or Airline experience an asset
• RFP (Request for Proposal) experience an asset
• Strong analytical and troubleshooting skills, with a keen attention to detail
• Post Secondary Education with a business or aviation related focus preferred
• Proficiency in Microsoft Office Suite of products
• Ability to use AirPas considered an asset
• Demonstrated ability to adapt to change, problem solve, build trust, and effectively negotiate
• Spanish language an asset
• Demonstrated knowledge of standard contract clauses, contract standards, and other industry standards in order to delivery procurement services
• Excellent communication, time management and organizational skills
