Join our team at the California State University, Office of the Chancellor, and make a difference in providing access to higher education. We are currently seeking experienced candidates for the position of Administrative Analyst. The CSU Chancellor's Office, located on the waterfront adjacent to the Aquarium of the Pacific in downtown Long Beach, is the headquarters for the nation's largest and most diverse system of higher education. The CSU Chancellor's Office offers a premium benefit package that includes outstanding vacation, health, and dental plans; a fee waiver education program; membership in the California Public Employees Retirement System (PERS); and 15 paid holidays a year.


Salary


The anticipated salary hiring range is up to $5,544 per month, commensurate with qualifications and experience.


The salary range for this classification is $4,170 to $7,545 per month.

Administrative Analyst/Specialist – Exempt I


Position Information


The California State University, Office of the Chancellor, is seeking an Administrative Analyst to provide a full range of project management, strategic planning, management implementation support for a variety of projects and functions pertaining to Student Success and Inclusive Excellence initiatives. The Analyst is a highly motivated, detail-oriented, dynamic project manager who thinks strategically and collaborates with individuals across the unit, division, and campuses to actively facilitate student success and inclusive excellence initiatives. The analyst aligns their work to unit goals related to and helps promote the strategic direction of the unit. The incumbent will provide essential analysis and implementation project management on behalf of the AVC to create sustainable collaboration and impact across the unit.


Responsibilities


Under the general direction of the Associate Vice Chancellor for Student Success and Inclusive Excellence, the Administrative Analyst will perform duties as outlined below:


  • Support the on-boarding process for new staff.
  • Coordinate workflow and follow up to ensure project progress and completion, review and follow-up on deliverables, and document project progress.
  • Create and maintain rosters for campus senior administrators and Graduation Initiative committee members.
  • Support the AVC’s preparation for meetings and/or presentations including the Board of Trustees, Academic Senate, GI2025 Advisory Council, Academic and Student Affairs Leadership team.
  • Coordinates and integrates the activities of the units under the AVC’s supervision in the development and implementation of established core goals and objectives.
  • Initiate and prioritize work to meet deadlines.
  • Coordinate and confirm logistics for appointments, meetings, workgroups, etc., hosted at the Chancellor’s Office or off-site locations, securing authorizations and approvals as required.
  • Exercise independent judgment to troubleshoot and resolve issues which crosscut the organization and/or could negatively impact the ability of the organization to function effectively
  • Provide administrative interface, coordinating with various offices to support special events, meetings, activities and projects.
  • Arrange evaluation reviews, travel accommodations, scheduling, travel claims and reimbursement processes as necessary.
  • Coordinate data gathering, analysis, and reporting related to projects maintained by external funding.
  • Engage with senior level administrators, including vice presidents, provosts, campus presidents, the Academic Senate, higher education advocacy organizations, etc. ensuring confidentiality and information sensitivity.
  • Distribute payroll and other system-wide correspondences to department staff.
  • Provides support in the collaboration of staff to facilitate planning sessions that will identify critical issues and problems; suggests and recommends options; develops consensus on appropriate alternatives; and works with teams to implement approved recommendations.
  • Efficiently screen, manage and respond to speaking requests for the AVC as necessary.
  • Serves as principal project management support to the AVC in handling all student success and inclusive excellence initiatives.
  • Designs and implements action plans to achieve strategic and operational goals, objectives and policies and procedures. Works closely with all Assistant Vice Chancellors and Directors to ensure unit cohesion.
  • Partner unit and divisional colleagues to ensure that organizational needs are met without interruption; respond to complex inquiries stakeholders.
  • Other duties as assigned.
  • Prepare communications and correspondences for internal and external constituents using CSUCO writing standards, conventions, and templates.
  • Provide complex analytical, technical and administrative support to facilitate the efficient day-to-day operations of the AVC office and the Student Success and Inclusive Excellence team


Qualifications


This position requires:


  • Ability to function effectively in a complex and fast-paced work environment.

  • Knowledge of strategic planning.
  • Must be able to interpret and apply policies and procedures independently and use judgment and discretion to act when precedence may not exist.
  • Ability to draft and proof written communications to ensure accuracy and the highest degree of professionalism.
  • Working knowledge of higher education challenges, national trends in student success and inclusive excellence, and CSU.
  • Ability to multitask, prioritize and balance multiple projects to meet various delivery deadlines and strong ability to work under pressure.
  • Punctuality, reliability, and regular attendance is essential for completing various performance tasks.
  • Advanced proficiency in Microsoft Office; including Outlook, Word, PowerPoint and Excel.
  • Ability to track progress and coordinate highly detailed projects in a well-organized and efficient manner.
  • Bachelor’s degree from an accredited four-year college or university or equivalent combination of education and related experience is required. Master’s degree preferred.
  • Minimum five years of experience in administrative function, with a minimum of three years’ experience directly supporting senior administrator/executive position or a student success initiative. Experience in higher education preferred.
  • Able to responsibly secure data, reports and personnel information.
  • Demonstrated experience project management experience.
  • Ability to work independently and as part of a team, and be able to take initiative in the performance of a variety of tasks.
  • Experience in using cloud-based programs including SharePoint and OneDrive.
  • Tolerance for a fluid and dynamic work environment.
  • Working knowledge of grant and contracts development.
