Job Summary


The Employee Benefits Account Representative will support our San Francisco, CA office and performs clerical and administrative tasks for the team to support the overall retention of accounts.


Duties & Responsibilities


  • Order Client ID Cards
  • Review employee enrollments/terminations/changes for accuracy and oversee process
  • Obtain post-enrollment numbers for each plan
  • Request Summaries, SBC and EOC and save in client file
  • Prepare Master Applications, POP, COBRA & ERISA Wraps/SPD and SMM as requested
  • Prepare Provider Directories
  • Maintains accurate and organized account files by appropriately documenting conversations with clients and carrier representatives; updates all HUB computer systems and automated agency management systems; ensures the accuracy of data
  • Set-up HR Advocacy Tool, Legal Compliance Resources and Wellness value adds
  • Gathering/preparing census data
  • Review and scrub New Group Employee Applications, create list of pending items for Account Manager/Account Executive
  • Make initial request for plan renewals from carriers
  • Assist client with all billing issues including auditing and reconciliation
  • Timely communication with Account Manager/Account Executive if unable to accommodate timeline due to requests from other team members
  • Performs other duties and projects as assigned
  • Maintain agency management system (BenefitPoint)
  • Prepare Annual Legal Notices
  • Facilitate Ben Admin/HRIS System Updates (Ease, ADP, Paylocity, etc)


Qualifications


  • High School / GED
  • Life & Health insurance license or wiliness to obtain within first 6-months
  • 1-2 years administrative experience or equivalent combination of education & experience


Knowledge / Skills / Abilities


  • Desire to learn and grow within the insurance industry
  • Ability to effectively and professionally communicate orally and in writing with internal and external customers
  • Ability to respond to customer needs, solicit customer feedback to improve service, and handle difficult or emotional customer situations promptly and accurately
  • Ability to efficiently gather pertinent information and facts, analyze and solve problems timely and thoroughly
  • Computer skills: proficiency with Microsoft Office Suite and Outlook
  • Critical Thinking: Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Confidence and demeanor to effectively interact with all levels within the organization


Working Conditions and Physical Demands


  • The person in this position frequently communicates with colleagues and clients both in person and on the telephone; must be able to communicate and exchange accurate information.

About The Position


Join one of the top acquiring firms as a Change and Communications Consultant! We are seeking individuals who are passionate about leading others through organizational change, embrace applying proven methodologies to solve complex organizational problems, understand the nuances of effective change management, and use targeted communications practices to influence organization readiness.


Reporting to the Senior Manager, Training Operations, you will work with operations and IT teams to plan and facilitate adoption and communication strategies related to the implementation of a new ERP system being rolled out throughout our MGA/wholesale groups in Canada. You may also be asked to design and develop some learning solutions.


Role Description & Responsibilities


The Change and Communications Consultant serves in an integral function to enable change adoption approaches in key corporate initiatives. Using data-based decision-making, you will identify human factors which influence the organization’s ability to reach strategic goals and build effective communications strategies to inform, excite, and support HUB employees. Your ability to understand your audience and creatively design succinct yet engaging communications that provide clarity for all IT and operations initiatives will be critical. The intellectually curious will not find a dull moment in this role!


Primary Responsibilities


  • Leverage the corporate change methodology framework by applying behavioral knowledge and
  • Develop change and communications content for the MGA Canada ERP project workflow and process

  • Develop a core set of communication templates and information distribution processes to

  • Determine appropriate communication and engagement channels for impacted employee
  • Proactively identify and formulate communication strategies that address issues which may impede an initiative; collaborate with peers to determine alternative solutions

Requirements

  • Ability to travel throughout Canada over the next 3-4 years (with a focus on the Vancouver area to start)
  • Highly self-motivated and directed
  • Ability to present ideas in business-friendly and user-friendly language
  • Current and valid passport
  • Strong oral and written communication skills including the ability to leverage tools to build engaging communications and presentations (expertise with MS PowerPoint and MS Word a must)
  • 3 + years’ experience delivering change management solutions; experience creating and implementing transformation in a consulting or industry change leadership role
  • Ability to effectively prioritize and execute tasks in a high-pressure environment
  • Excellent large and small group facilitation skills
  • Bachelor’s degree in business management, I/O psychology, or human resources; advanced degree highly desired


Desired Qualifications


  • Experience in training design and/or delivery
  • Experience designing training solutions for ERP systems, preferably NetSuite
  • Hands-on knowledge of enterprise ERP systems, preferably NetSuite
  • Ability to travel to corporate office and/or hub locations, as needed
  • Knowledge of the insurance industry, insurance brokerage operations, and insurance wholesale operations
  • Certification in a change methodology
