Job Description
Our Client, one of North America's leading energy infrastructure companies with operations in natural gas, oil and power industries throughout Canada, the United States, and Mexico has an immediate need for a Senior Document Control Analyst. This is a contract position for one (1) year located in Calgary, Alberta.


Description


The Senior Document Control Analyst is responsible for all records and document management and its overall performance.


Role Accountabilities


  • Plan includes a document strategy for our Internal, External and Vault SharePoint sites, EDMS, and paper copy documents
  • Advises on all process, issues, urgent matters and directs how the work is done
  • Provide direction, guidance and training to Document Control team and project team to ensure a consistent and effective approach is applied across the project with respect to managing information
  • Conduct business analysis of information flows and determine the appropriate document control processes to support the business process
  • Conduct self-audits to assess gaps, and determine and implement corrective action
  • Utilize project management skills to manage multiple initiatives and provide progress reporting and status updates
  • Plan and coordinate training sessions as required (in person, via conference calls or WebEx sessions).
  • Develop, maintain and support the project’s overall Information Management Plan processes and procedures as they align to the Capital Project Management System.
  • Establishes all protocols for both internally and with external stakeholders
  • Assist team members to meet project/initiative, schedule and quality on all requirements pertaining to information management best practices
  • Collaborate and coordinate the publication of training materials, FAQ's cheat sheets etc
  • Develop Document Control practices and procedures for the field office in work with field staff to implement
  • Collaborate with team members and other stakeholders to manage and protect their information
  • Oversee the day to day activities of the Document Control team
  • Lead and practice an environment of continuous improvement to ensure optimization of the SharePoint system
  • Assess, understand, consult and make decisions with respect to the project’s requirements for information management


Qualifications


  • Experience providing Quality assurance incoming and outgoing documents.
  • Plan and coordinate training sessions as required (in person, via conference calls or WebEx sessions).
  • Experience with Software - Bluebeam, OpenText an asset
  • 10+ years of experience as a Document Control Analyst preferably with Oil and Gas or EPC Companies
  • Post-Secondary education in Records Administration/Management, Library and Information Technology or related experience
  • Experience advising on all process, issues, urgent matters and directing work processes
  • Experience with Internal, External and Vault SharePoint sites, and EDMS
  • Experience collaborating with team members and other stakeholders to manage and protect their information.
  • Advanced computer skills, including experience with, Excel, MS Office
