Job Summary


Reporting to the Physician Services Manager and Administrative Assistant II, the incumbent is responsible for providing a wide variety of secretarial support to the physicians in the Department of Medical Oncology and Hematology. Duties include electronic and paper file management, preparation of documents including confidential correspondence and research grants, arranging all aspects of travel, organization of meetings and rounds including preparation of agendas/ notices, recording and preparation of minutes, assisting with education and research duties, and maintaining multiple schedules. The incumbent assists with special projects, event planning, and other related duties as required. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercises sound judgment, maintains confidentiality, and is willing to assume a variety of assignments as required. The candidate must be a self-starter, have the ability to work independently or in a team setting with minimal supervision and be capable of carrying out the duties of this position with diplomacy, tact and professionalism. This position will be working in an administrative office. not in a direct clinical setting. Mobility between MacCharles and St. Boniface sites may be required.


Qualifications


Required:


  • Must be able to legally work in Canada
  • One year of experience in a secretarial role with team experience within a health care setting
  • Successful completion of a recognized secretarial training program, or the equivalent in education and experience as determined by CancerCare Manitoba
  • Demonstrate proficiency in the use of Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Completed Grade XII, Manitoba standards or equivalent
  • Medical terminology, transcription, and minute taking skills
  • Proof of successful completion of 40S English course or equivalent


Will Be Assessed During The Interview Process


  • Ability to adapt to stressful situations
  • Ability to work both independently and as a member of a multi-disciplinary team
  • Excellent interpersonal, communication, organizational, customer service and problem-solving skills
  • Ability to liaise with staff at all levels in the organization and ability to maintain a high level on confidentiality


Will Be Assessed During The Testing Process


  • Computer keyboarding skills of 30 wpm with high degree of accuracy
  • Medical Terminology Test (70% passing benchmark)
  • Written communication skills - Written composition test (70% passing benchmark)


Preferred


  • Experience working in a medical oncology environment
  • Previous Experience within a health care setting


Asset


  • Ability to speak French
