Job Description
Position Overview
The Department of Athletics in the Faculty of Kinesiology is currently seeking a Full-time Regular Specialist, Events and Marketing.
Reporting to the Sr Manager, Sales & Marketing, and works closely with the Communications Manager and other members of the team. The peak period of work occurring from September 1 through April 30 each year; weekend and evening work will be required during the athletic season.
The Specialist - Events & Marketing, is responsible for the marketing and execution of all exhibition, regular season, playoff and special events conducted by the Department of Athletics. The position includes multi-event weekends, requiring various detailed tasks to be coordinated at multiple venues. At times, there will be multiple, simultaneous deadlines in a work environment that is fast paced and results oriented. The incumbent must be able to work under pressure and with a variety of environments and people.
The incumbent must show initiative and discretion, as decisions made can impact various units within the Department of Athletics and the Faculty of Kinesiology.
This is a generalist position with a broad range of focus areas and target audiences, requiring management of competing interests with satisfactory outcomes for all stakeholders involved.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
Responsibilities include ensuring events are adequately staffed and properly executed. The position provides leadership to part-time events staff and assists with their selection, training, scheduling and evaluation. Specific duties also include creation of game day scripts, as well as the servicing and execution of department sponsorship agreements.
Financial
  • Provide assistance and support to Sr. Manager, Sales & Marketing, on ensuring staffing is appropriately trained and coordinated to support marketing and promotional activities
  • Support ticket sales efforts through various marketing and advertising campaigns
Marketing
  • Lead Athletics representation at key on-campus events (i.e. Orientation Week, Open House)
  • Coordinate student-focused promotional initiatives
  • Development and implementation of marketing, advertising, and other promotional initiatives to increase attendance and awareness for Dinos events.
  • Completion of market research to measure the success of advertising, promotions and marketing plans.
  • Ensure that all initiatives fall within University of Calgary and Department of Athletics branding guidelines
  • Development of strong relationships with key campus and community constituents.
  • Responsible for in-scope supervision of part-time staff in their daily activities, ensuring appropriate staffing levels and scheduling; may require timesheet coordination on behalf of the manager
Event Operations
  • Responsible for in-scope supervision and scheduling of designated part-time event staff in their activities, ensuring appropriate staffing levels and scheduling; may require timesheet coordination on behalf of the manager
  • Work with external groups to ensure effective operation of games and special events (i.e. McMahon Stadium Society, Calgary Sports and Entertainment Corporation, City of Calgary Recreation, UCalgary Students' Union)
  • Creation of game day script and liaison with video production crew for in-game scripting
  • Working with Kinesiology Operations and other stakeholders, ensure appropriate scheduling, setup, and teardown of events
  • Ensure sponsor obligations related to in-game experience are met
Community
  • Coordinate requests for donations on behalf of the Department of Athletics
  • Work with community organizations to provide opportunities for athlete appearances and/or fundraising opportunities with the Department of Athletics
  • Coordinate appearances for Rex, the Dinos' mascot and other Athletics collateral
Qualifications / Requirements:
  • Knowledge of U SPORTS, Canada West and University of Calgary policies and procedures are essential.
  • Familiarity with Microsoft Office (Word, Excel, PowerPoint)
  • Post-secondary degree in Kinesiology, Communications, Marketing, or other related area.
  • Team leadership skills including ability to delegate and inspire.
  • Ability to work in a high-intensity, fast-paced environment focused on excellent customer service.
  • Strong attention to detail, good multitasking and organizational skills are required.
  • Exceptional communication skills, both written and oral.
  • 2 to 5 years working experience in events, marketing and promotions, or a related field
  • Graphic design experience would be an asset.
