Job Summary:
We are seeking a motivated and skilled Events Project Coordinator to join our team and play a pivotal role in the planning, execution, and success of various client events. The ideal candidate is a detail-oriented individual with a passion for orchestrating seamless experiences, from conceptualization to post-event analysis. As a Senior Events Project Associate, you will work closely with clients, vendors, and internal teams to ensure the flawless execution of events that exceed expectations. The candidate will work closely with cross-functional teams and report to the Director Training and Events.
Requirements:
- Excellent written and verbal communication skills to liaise effectively with clients, team members, and stakeholders.
- Flexibility to work evenings, weekends, and travel as needed for event / project execution.
- Analytical mindset with data-driven decision-making abilities to develop innovative concepts and solutions.
- Strong understanding of economic development and foreign direct investment.
- Proficiency in project management software and Microsoft Office Suite
- Team player with cross-functional collaboration skills.
- Experience working remotely with efficient time management skills.
- Bachelor's degree in Marketing, Event Management, Business, or a related field.
- Strong organizational and project management skills with ability to coordinate multiple projects simultaneously.
- 3+ years of experience in event management, complex project management or related roles, preferably within the G2B sector.
Responsibilities:
Event Planning and Strategy:
- Support the development of comprehensive event strategies, timelines, and budgets that align with client goals.
- Support the creation of innovative event concepts, themes, and designs that resonate with target audiences.
- Collaborate with the events team and clients to understand their event objectives, preferences, and requirements.
Project Management:
- Manage project schedules and milestones, ensuring timely completion of tasks and deliverables.
- Provide clear direction to cross-functional teams and external partners, ensuring effective collaboration and communication.
- Support all aspects of event logistics, including venue selection, vendor management, catering, décor, entertainment, and technical requirements.
Budget Management:
- Negotiate contracts with vendors, venues, and suppliers to secure favorable terms and pricing.
- Support and work to event budgets, tracking expenses and cost-effectively allocating resources.
- Monitor budget variances and proactively address potential financial issues.
On-Site Event Execution:
- Support the management of event staff, clients, and external partners, providing guidance and support as needed.
- Solve unforeseen challenges in real-time to maintain a seamless event experience.
- Support on-site event management, ensuring smooth setup, execution, and breakdown.
Post-Event Analysis:
- Generate reports highlighting key performance metrics and insights to inform future event strategies.
- Conduct comprehensive post-event evaluations, collecting feedback and data to assess event success and areas for improvement.
Perform other duties as required by the Director Training & Events.
