POSITION SUMMARY:
As a School Experiences Organizer, you will provide exceptional customer service to school groups visiting the museum. You will be responsible for greeting and welcoming groups, managing their needs, responding to inquiries, processing payments, scheduling program bookings, and coordinating the shipment of educational materials for special programs.
RESPONSIBILITIES:
  • Efficiently check reservation numbers, sign in groups, assign coat racks, and allocate lunch spaces.
  • Greet and welcome school groups in the Museum's School Entrance reception area for onsite and online visits.
  • Process School Programs applications, schedule Learning labs and gallery spaces for school groups, and prepare daily schedules with relevant details.
  • Assist groups in understanding the Museum guidelines, scheduled lunch times, and special exhibitions.
  • Accommodate late or walk-up groups and adjust schedules accordingly.
  • Respond to in-person, phone, and email inquiries, providing information about educational programming and making necessary arrangements.
  • Revise bookings as needed, reschedule due to weather or technical difficulties, and contact schools for alternate arrangements.
  • Provide outstanding customer service, ensuring each group is connected with their assigned ROM teaching staff for guided programs or informed about self-guided options.
  • Collaborate closely with School Programs administrative and teaching staff to communicate logistical details and ensure smooth program delivery.
  • Assist with administrative tasks such as settling point of sale statements, daily close-out and cash-out, updating revenue and attendance numbers, and data entry for reports.
  • Operate the online booking system to confirm numbers and booking details and process payments accurately.
  • Handle various payment methods, including cash, cheques, credit/debit cards, and purchase orders.
QUALIFICATIONS:
  • Excellent oral and written communication skills, with exceptional professionalism and courtesy.
  • Minimum of two (2) years of administrative application service experience, preferably in the cultural and/or education sectors.
  • French language skills are a definite asset.
  • Completion of high school (Grade 12) diploma or equivalent education and experience.
  • Proficiency in standard computer applications (word processing, spreadsheets, email) and customized booking systems. Working knowledge of point-of-sale terminals (POS).
  • Ability to work independently and as part of a team.
  • Strong organizational skills, attention to detail, and judgment.
Salary and Terms of Employment
START DATE: ASAP
OPEN DATE: July 12, 2023
CLOSE DATE: July 26, 2023
EMPLOYEE GROUP: OPSEU Local 543
SALARY/HOURLY RATE: $22.33 per hour
SCHEDULE: up to 24 hours
PROBATIONARY PERIOD: 420 hours or six (6) months (whichever comes first)
