The ideal candidate will be responsible for all operational and financial aspects of properties including budget control and maintenance requests.
The Property Manager (PM) is responsible for:
Vacancy Management
Under the direction of the Senior Property Manager, maintaining maximum occupancy of each property at all times including:
·Reducing vacancies by leasing each unit within 30 days of becoming vacant.
·Reducing tenant turnover by providing excellent tenant services.
·Working with Caretakers to facilitate expedient move out and move in.
·Ensure all lease renewals are completed on time.
·Working with the Senior Property Manager, market all vacant units.
Arrears/Collections
Maintaining Arrears at a minimum and ensuring proper notices and collection procedures are followed at all times including:
·Along with others, follow the Arrears and Collection Policy.
·Encourage rent payments to be on line or by PAP
·Document all tenant files in property management software
Tenant Liaison/Maintenance
Maintaining liaison with tenants by responding to tenant requests and ensuring maintenance requests are addressed.
·Respond to tenants’ requests in two business days.
·Prioritize issues or concerns.
·Follow up on maintenance requests.
·Document all tenant interaction on property management software and in files.
·Visit each property at least once a week.
Administrative
Completing and providing reports about the managed portfolio and performing other administrative duties as required including:
·Assisting with reports for the Board of Directors and other stakeholders.
·Attend property board meetings and all RTB hearings.
·Address RTB orders
AccountabilitiesThe Property Manager is accountable to:
·Represent SAM in a positive manner
·Ensure all details are handled accurately and in a timely manner.
·Ensure decisions are lawful and in compliance with the various provincial acts including the RTA, Cooperatives Act, Life Lease Act and other regulations.
·Act as a supporting team player by treating all staff with respect, dignity, understanding and assist others as required.
QualificationsEducation and Experience:
·Experience in property management is an asset but not required
·Two to five years property management/administration required
·Experience working with diverse clientele is an asset
Knowledge and skills:
·Ability to speak, listen, and write in a clear, thorough and timely manner using effective communication tools and techniques.
·Ability to work cooperatively with others.
·Highly organized and focused on details.
·Capable of organizing own work with minimum direction.
·Understanding of Residential Tenancies Act, Life Lease Act and Cooperatives Act requirements
Supervision:
·Currently this position does not supervise the work of others
Degree of autonomy:
·Works with minimal supervision but cooperatively. Work is periodically checked
·Judgment and discretion are exercised within a framework of specific policies and procedures
Working Conditions·Work takes place in the SAM office and on site at various SAM Management managed properties
·Position is full time
·Position is required to attend meetings outside of normal business hours; flexibility is required
·A valid driver’s license and reliable vehicle are required
