The Project Coordinator will be responsible for providing support services to the Enterprise Project Management Office (EPMO). These tasks involve administrative support to day-to-day EPMO operations, project governance, programs, and projects. The Project Coordinator will also participate in the management of the EPMO tools and assist the core teams in terms of process improvement practices.
Please note: this is a 6-month contract opportunity with possibility for renewal
Is this role right for you? In this role, you will:
Planning, Execution and Operationalization
  • Assist in the compilation of project statuses for executive and various reporting
  • Conduct follow-ups to general requirements from the Sr. Project Managers
  • Assist the Sr. Project Managers for coordination tasks based on specific requests
  • Assist with the set-up of resources in the PM tool for existing and future projects
  • Assist in the set-up of project requirements, project sites, site access and others
  • Assist in the preparation and consolidation of project risk, actions, issues, decision log as well as tracking assumptions and constraints
Stakeholder Management and Communication
  • Communicate with various departments to keep everyone on board about any changes to the project plan
  • Schedule, attend, participate and take minutes in various meetings as required
  • Raise risks to the Sr. Project Manager
  • Act as the initial contact between the project and the different stakeholder in terms of its project and governance practices
  • Effectively communicate and build rapport with team members, stakeholders and business partners using a variety of communication techniques
Other Administrative Support Services
  • Collect project data from the Sr. Project Manager and other cross functional leads.
  • Assist in the preparation of the Steering Committee, project and other EPMO reporting
  • Assist in the management of the EPMO tools, sites, and dashboards
  • Act as administrator and content owner of the project team site and tools
  • Assist in the management of the change management and benefits realization process
  • Ensure Project Managers maintain project artifacts in their project repository before project closing

  • Strong written and verbal communication skills with ability to influence others and negotiate effectively
  • Ability to work independently with virtual team while achieving deadlines

  • Organized with the ability to quickly prioritize and re-prioritize and effectively handle critical issues or competing priorities
  • Experience working as a project coordinator to portfolio office, large projects and/or multiple projects
  • Move with agility from one task to another to meet deadlines in a dynamic, fast-paced environment
  • Experience in implementation and launch of new technology software and projects.
  • Self motivated with strong problem-solving and analytical skills
  • Proficient computer skills and competent with Microsoft Office Programs including MS Project and Visio with an emphasis on advanced Microsoft Excel experience, SharePoint and/or Project/Portfolio Management tool, Power BI
Education, Designations, Training And Experience
  • 2-5 years experience in a project coordinator or project control officer role in an Enterprise Project Management Office setting
  • University degree or diploma (or acceptable equivalent qualifications)
  • Knowledge of Project Management Life Cycle, Software Development Life Cycle methodologies (SDLC) and Agile methodologies
  • Project Management Professional, Accounting or Agile/SCRUM certification is an asset
  • Audit experience is an asset
  • Working knowledge of banking solutions and products
  • Knowledge of conflict and issue resolution
  • Knowledge of risk assessment methodologies
Office Location: 3330 Bloor Street West, Toronto OR 75 Corporate Park Drive, St. Catharines.
