Scope:
- To schedule various internal and external appointments and events
- To assist all external and internal customers in a friendly, positive, professional and time sensitive manner
- To provide clerical support using Corporate standard software including Microsoft Office and SharePoint
- Contribute to the identification and prioritization of areas for improvement within the six dimensions of quality (safe, effective, efficient, timely, person-centered and equitable)
- To record and distribute agendas and minutes for various committee meetings
- Other duties as assigned.
- To process incoming and outgoing mail
- To provide support to various programs across the Health Unit as needed
- Maintain and administrate the Omni RIM database which includes creating/preparing new files, changes to existing files, printing Records Management usage reports
- To assist program delivery by using divisional databases and web-based applications including but not limited to iPHIS, Hedgehog, IRIS, DWARS, ISCIS, OHISS and Panorama
- Engage with colleagues in a systematic approach to quality improvement, including the definition of the purpose and scope; development, testing and implementation of change ideas; and measurement of reach and impact
- To conduct switchboard and front-counter operations and provide a broad range of information in response to customer inquiries as needed (i.e. email follow-up, payment processing etc.)
- Over one year and up to two years related experience
- High school grade 12 graduation plus an additional Administrative or related program of one year and up to two years
- Basic knowledge of the principles of health promotion is an asset
- Computer expertise in corporate standard software (Microsoft Office) and department specific software for data search and entry and to create and modify documents (validated through standard excel testing)
- Keyboarding skill of 45 wpm with 80% accuracy (confirmed through testing process)
- Valid Ontario driver’s license and access to a reliable vehicle
- Must be aware of safe work practices as they relate to job responsibilities and work environment, and have the basic understanding of the Occupational Health and Safety Act
