Reporting to the Manager, Payroll, the Supervisor is responsible for accounts payable and payroll. The Supervisor provides guidance and assistance to College departments for these activities and acts as a liaison with vendors, external auditors and various government agencies.
  • The Canada Revenue Agency – T4, and T4A;
  • Responsible for the compilation of reports to:
  • Ensures the proper storage and retention of accounting records to comply with legislative requirements;
  • Supervises staff in the accurate and timely processing of College payroll;
  • Ensures that pay records reflect the cumulative history of each employee to permit completion of reports such as, T4-T4A’s, CAAT Pension Plan and RCA;
  • Answers inquiries from College employees and organizations such as the Canada Revenue Agency, United Way, Credit Union, W.S.I.B. and others in respect to pay and deduction problems and information relative to individuals and the College as a whole;
  • Assists in the training of new payroll office staff and updating of current staff to ensure that College policies and directives are followed;
  • CAAT Pension Plan – monthly deductions;
  • Provides support and assistance to the Manager, Payroll and provides backfill in the Manager’s absence;
  • Seeks opportunities to continually improve the payroll process with a goal of eliminating all payroll errors;
  • RCA – monthly deductions;
  • Sun Life of Canada – report and remittance for monthly premiums.
  • Controls the cheque signing duties to ensure that safeguards are maintained to prevent misuse of electronic cheque signing capabilities;
  • Administers the College’s policies and directives that monitor expense claims.
  • Prepares required working papers to support payroll accounts on the balance sheet;
  • Assists the Payroll manager with the bi-weekly payroll to verify all regular and part-time payrolls to ensure they are balanced so that all personnel receive their pay entitlement in accordance with pay authorizations and at scheduled times;
  • Ensures compliance to Canada Revenue Agency’s statutory withholding requirements;
  • Accurate and timely reporting and remitting of all payroll deductions;
  • United Way, OCASA and Fitness Zone - monthly report of deductions from employees;
  • Employer Health Tax – monthly and annual reports;
  • Ontario Public Service Employees Union – monthly dues for faculty and support staff;
  • Maintains and upholds accounting controls and recommends improvements as necessary;
  • Workplace Safety & Insurance Board – monthly and annual reports;
  • The incumbent works closely with the Workday Support Team on a day-to-day basis, submitting all change requests, developing business requirements for changes/enhancements (including those arising from Workday semiannual updates and changes in collective agreements), developing test scripts, and completing user acceptance testing on behalf of the Payroll team. Acting as the point of contact for the payroll team, the incumbent translates business objectives into quantifiable systems realities.
Required Qualifications
  • Payroll Compliance Practitioner (PCP) certification (mandatory);

  • Three (3) year diploma/ degree in Business, Finance or other related fields;
  • Excellent analytical and problem-solving skills;
  • Advanced proficiency in Excel.
  • Ability to interpret policies and guidelines from government sources;
  • Ability to work under a high degree of pressure;
  • Strong organizational skills;
  • Recruitment and supervision skills;
  • Skilled in the preparation of account reconciliations in support of the financial statements;
  • Ability to handle confidential information in a discreet and professional manner;
  • Strong attention to detail and accuracy;
  • Knowledge of financial information systems;
  • This position is paid at Payband 9
  • Ability to communicate professionally with colleagues, staff and external contacts;
