Role and Responsibilities

We are seeking a full-time, permanent Payroll and Benefits Specialist to join the Finance and Administration team. The successful candidate will report to the Director of Finance and be responsible for maintaining the integrity of Innovasea’s payroll systems which include the timely preparation and execution of payroll for 275+ employees across Canada and the USA as well as international locations (Chile, Norway, Greece). The role will also cover the administration and maintenance of our benefits programs, including group insurance and pension/401(k) plans for each region. This position can be situated in either the Bedford, NS or Boston, MA office.

The Specialist provides subject matter expertise to clients and colleagues on payroll related matters. This is delivered through research, investigation, analysis and consultation with colleagues on payroll-related issues such as paid and unpaid leaves, claims and repayments, records of employment, annual adjustments, contract interpretations, retirements, year-end processing and Government of Canada and/or USA, updates and revisions. The provision of service in this role is based on interactions being held in the strictest of confidence.


The specialist will interact closely with our HR department as part of their day-to-day function in order to help us achieve our objectives.


The specialist will participate with the head of Finance and head of HR in defining our global payroll strategy, including scaling options, tools, processes, and providers.


The candidate must be a team player with excellent problem solving and communication skills. The candidate will:

  • Assist with the set-up of new accounts with various federal, state, and local agencies as well as in future jurisdictions
  • Create, maintain, and archive all personnel files (new hires, termination, etc.) and payroll records within regulatory compliance
  • Develop and maintain adequate internal controls to assure accuracy of deductions and billing for benefit plans
  • Assist with paperwork and processing for onboarding all new hires, employee termination, and status change
  • Ensure payroll processing, including related tax filings and payments are done timely and accurately, including updating provincial/state unemployment tax rates
  • Ensure eligible employees are enrolled in the applicable benefit plan within the time frame required. Regularly audit to ensure employees that have completed the waiting period are set up for pension and benefits contributions
  • Day-to-day employee point of contact for all payroll, benefit and pension/401(k) related matters
  • Conduct the timely and accurate processing of all health and benefit plan transactions, 401(k) funding, spending accounts, COBRA administration and other tasks as needed


Required Skills and Experience

  • Experience administering Group Benefits and Pension/401(k)
  • Flexibility and ability to undertake several tasks simultaneously and prioritize them effectively
  • Minimum of 5 years' experience in Canadian and/or USA processing payroll
  • Must be able to work within a diverse work group in a professional and courteous manner
  • Strong attention to detail with good analytical skills and the ability to consistently meet deadlines in a timely and accurate manner


Education

  • Completion of a post-secondary diploma or degree in a related field (preferably in business, finance or accounting)


Preferred Technical and Professional Expertise

  • Experience working with ADP Workforce
  • Experience working with BambooHR
  • Certified Payroll Professional (CPP) (USA)
  • Intermediate to advanced user of Microsoft Office Suite
  • Completion of Payroll Compliance Practitioner (PCP) (Canada)
  • International experience, especially in Eurozone countries is considered an asset
