We are looking for a customer-oriented, motivated individual to join our professional team as a Parts and Service Coordinator at our Sudbury, ON branch!

What You’ll Be Doing

Duties and Responsibilities:


  • Take incoming field service calls from customers and determine required course of action. Keep customers informed about the status of field service repairs.
  • Support mechanics by ordering and receiving parts, following up and escalating as needed on backorders.
  • Manage parts inventory.
  • Assist with parts pickup.
  • Facilitate an efficient A/P process by issuing purchase orders, matching purchase orders to invoices and approving/submitting invoices with all required documentation for payment.
  • Support mechanics in completing all work orders, ensuring labour and parts are complete and accurately costed.
  • Ensure all shop supplies are stocked
  • Maintain and coordinate the maintenance schedules for all equipment.
  • Work closely with the heavy-equipment mechanics to communicate rental equipment needs and ensure necessary repairs are completed in a timely manner as well as within customer driven deadlines.
  • Coordinate any necessary outside service repairs to equipment.
  • Process warranty claims.
  • Provide quotes and estimates to customers for any customer charge repairs. Ensure customer charges are billed in a timely manner with adequate documentation.
  • Assist with ensuring that all new units are fleeted and ready for rent.
  • Maintain a system for tracking repairs and estimates for all equipment including attachments to ensure it is in good operating condition.


What You’ll Bring to the Team

Qualifications and Requirements:


  • Valid class G driver's license with clean or satisfactory driver's abstract.
  • Excellent problem-solving skills.
  • Self-starter and able to work independently with minimal supervision, as well as with a team.
  • Very customer service oriented and team oriented.
  • Minimum of two years of experience in service operations, preferably in the heavy duty equipment industry.
  • Knowledge of heavy-duty construction equipment service is preferred.
  • Flexibility; must be comfortable with adapting to changing priorities in a fast-paced work environment.
  • Excellent written and oral communication skills.
  • Strong verbal and written communication skills with the ability to converse with colleagues, customers, and other parties in a professional and courteous manner.
