Robert Half is seeking an Office Assistant for a long-term contract based in Cambridge, ON. We are seeking applicants that are highly-skilled, motivated that are capable of multitasking and handling various projects at once. As an Office Assistant, you will play a vital role in ensuring smooth office operations by handling various administrative tasks. Your responsibilities will include answering phone calls, greeting visitors, managing correspondence, coordinating meetings, maintaining office supplies, and supporting the invoicing process. Your attention to detail and organizational skills will be crucial in maintaining a well-organized and efficient office environment.

Your responsibilities in this role

• Prepare meeting agendas, materials, and assist with meeting logistics as needed.
• Prepare and send outbound correspondence, such as letters and packages.
• Schedule and coordinate meetings, appointments, and travel arrangements for managers, ensuring timely and efficient arrangements.
• Coordinate, process, and track customer invoicing requirements, ensuring accuracy and adherence to deadlines.
• Perform general clerical tasks, including photocopying, faxing, and mailing documents.
• Monitor office supply inventory and reorder as necessary, ensuring sufficient stock levels.
• Assist with the opening, sorting, and distribution of incoming correspondence.
• Receive and direct visitors and clients, ensuring a welcoming and professional atmosphere.
• Collaborate with the finance team to resolve any invoicing discrepancies or issues.
• Coordinate maintenance and repairs for office equipment to ensure their optimal functionality.
• Answer and transfer inbound phone calls, providing courteous and professional assistance.

Requirements

• Strong interpersonal skills with the ability to interact professionally with colleagues, clients, and vendors.
• Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
• Proven experience in an administrative or office support role, preferably within a manufacturing environment.
• Proficiency in MS Office Suite (Word, Excel, Outlook) and other relevant software.
• Excellent written and verbal communication skills.
• Attention to detail and accuracy in handling documents and correspondence.
• Flexibility and adaptability to changing priorities and deadlines.
• Ability to maintain confidentiality and handle sensitive information appropriately.
