Founded in 2010, PhysioWorks is a progressive multi-disciplinary clinic offering physiotherapy, massage therapy, and active rehabilitation (kinesiology) services to Kitsilano, UBC and surrounding communities. PhysioWorks currently has two clinic locations: one located on West 4th and another at Wesbrook Village (UBC). Each clinic offers clean and modern private treatment rooms, a full on-site gym, and we pride ourselves in the little touches such as the use of scent-free natural cleaners. Our services range from injury prevention and rehabilitation to performance training, and are appropriate for people of all ages and abilities. We never compromise on treatment quality through continual learning opportunities for our therapists, the tools to custom design treatment programs in order to meet the unique needs of each client, and monthly in-services where our therapists come together to practice and hone their skills in a group setting.
The Job:
We are currently looking for a reliable, self-assured candidate to join our reception team. This team is what helps keep the clinic running smoothly, and supports our clients with any needs that they may have outside of treatment. This position in particular will be supporting the clinic at Wesbrook Village. However, we are also looking for someone to support the clinic at West 4th.The candidate must be willing to work at both locations if it is needed. This is an excellent opportunity for students who plan to pursue careers in integrative healthcare or anyone who is looking to learn more about medical office administration.
As a part of the reception team at PhysioWorks, here is what a day will look like:
- Support clients by helping them book appointments, confirm appointments, coordinate medical record retrieval, and any other tasks that are requested by therapists.
- Greeting patients and guests in a welcoming and professional manner, checking them in to their appointments, and providing them with any necessary updates on their treatment coverage.
- Responding to our online booking request with accuracy and promptness
- Coordinate and manage third-party claims such as ICBC, MSP, and other private insurance through the Jane app platform.
- Maintain strong relationships and confidentiality that promote trust and client satisfaction.
- Act as the first point of contact for clients and other medical providers via phone, email and/or fax.
- Maintain our high standard of health and cleanliness by regularly tidying and cleaning rooms for clients, processing laundry to ensure each session has fresh linens and other general clinic maintenance as assigned. Housekeeping duties include laundry and daily cleaning of the clinic.
- Performing ongoing, shift-specific duties (administrative and other)
In light of the COVID-19 pandemic, we have a thorough health and safety plan in place to ensure that all of our employees and clients feel comfortable and safe while in the clinic. Our reception desks are behind a plexiglass barrier, we sanitize every room after each patient and communal areas every hour, and medical grade masks along with hand sanitizer are provided and required while inside the clinic.
Our Ideal Candidate:
Our ideal candidate will express a high attention to detail, have great interpersonal skills, and offer excellent customer service. They are a team player, and recognize their impact as both an individual and as a part of the clinic support team. They are committed to continual learning and staying up to date on any policy changes or software updates. Likewise, they are confident with computers and navigating different software programs, and feel comfortable multitasking in a busy environment. The ability to handle a fast-paced environment while delivering excellent customer experiences is a must.
- MOA certificate of achievement or equivalent in clinic experience and experience with the Janeapp system is strongly preferred. Hourly wage will be determined on experience. Please submit a cover letter with a resume [email protected]

Job Types:Full-time, Permanent (35-40 hrs)
Schedule:Monday to Friday, saturdays if needed.
Salary: $18.00-$20.00 per hour
