Job Description
Title: Maintenance Manager - Nanaimo
Competition: #23-01
Reports to: Director of Maintenance and Building Operations
Compensation: $60 000+ Commensurate with experience
Schedule: 8:30am to 4:30pm, Monday to Friday (75 hours bi-weekly)
Closing Date: June 2, 2023 at 4pm

Pacifica Housing is a rapidly growing organization dedicated to meeting the housing and support needs of our community. Property Services ensures the prudent management of the organization’s rental housing portfolio assets including planning and delivery of property maintenance activities.
Position’s Primary Objectives:
Participates as a key member of the Property Services team responsible for oversight of for day to day preventative and reactive maintenance related matters for Pacifica properties throughout Nanaimo including:
  • Fostering a positive, active, and collaborative relationship with all Pacifica teams, residents, communities and associated agencies;
  • Provide leadership and technical direction to the maintenance team; and
  • Perform a variety of maintenance and property management related functions.
  • Collaborate with other departments to ensure a high level of customer service is delivered to clients, residents, and internal departments;
  • Support the Director of Maintenance and Operations by ensuring day-to-day maintenance activities take place and support the delivery of services to meet the organization’s quality and efficiency standards;
Key Responsibilities:
  • Ensures completion of maintenance work orders, mileage reports, and other paperwork in a timely manner;
  • Assists in the oversight of capital projects, ensuring the are completed to scope, on time, and an acceptable standard
  • Participates in recruitment, retention, and oversees team performance management; and
  • Reviews and approves invoices;
  • Oversees suite turnovers and ensures that they are completed in a timely manner at an acceptable standard.
  • Ensures timely engagement and implementation of maintenance schedule activities;
  • Assists with move-ins/move-outs, unit showings, contractor access, and suite-turn quality control as required;
  • Provide day-to-day supervision of the maintenance team including:
  • Attends meetings as requested; and
  • Reactive Maintenance:
  • Conducts building property inspections every 6 months and ensures corrective maintenance action is scheduled as required, and tenancy issues observed are reported to resident services;
  • Coordinates unit inspections once per year and ensures corrective maintenance action is scheduled as required, and tenancy issues observed are reported to resident services;
  • Administration:
  • Responds to emergency maintenance requests as required.
  • Supports direct reports through coaching, mentoring, guiding problem solving and professional development;
  • Empowers the team to respond and address issues as they arise;
  • Monitors and identifies day-to-day issues that impact the delivery of maintenance services and resolving or recommending solutions to identified issues;
  • Acts as a technical and training resource to the maintenance team.
  • Prioritizes and assigns work activities;
  • Reports to the Director of Maintenance and Operations regarding issues resolved, those needing attention, and those currently in progress;
  • Works independently to meet deadlines and complete assignments as arranged;
  • Maintains adequate maintenance supply inventory and material ordering;
  • Undertakes regular check-ins with direct reports and Director virtually or in person; holds regular team meetings to ensure two directions of communication;
  • Participates in the on-call rotation and serves as back-up for emergency on-call shifts and after-hours maintenance assignments;
  • Facilitates annual insurance renewals and oversees insurance claims;
  • Troubleshoots building system issues; and
  • Manages the approved vendor list and obtains quotes as required in accordance with procurement policy and processes;
  • Identifies areas to improve efficiencies and quality of work;
  • Coordinates and provides oversight of outside contractor' work;
  • Ensures safety standards and operational policies and procedures are adhered to by the team during daily maintenance activities;
  • Performs other related duties as required.
  • Provides leadership and supervision to staff in a manner that motivates, guides, and directs them to be responsible and accountable;
  • Manages contracts and quality control of service delivery;
  • Planned Maintenance:
  • Coordinates and monitors the preventive maintenance schedule; and
Requirements
Qualifications (minimum Education and Experience requirements):
Note: An equivalent combination of education and experience may be considered.
Education:
  • Completion of courses in one or more of the trades is desirable.
Experience:
  • A minimum of 5 years recent experience in a varied maintenance role
  • Demonstrated experience in carpentry, plumbing, electrical, and painting.
  • Supervision of a service industry workforce, prior experience as a maintenance manager or supervisor strongly preferred..
Knowledge, Skills and Abilities:
  • Demonstrated aptitude in dealing with private and confidential information; uses diplomacy and tact in all interactions.
  • Proven ability to work independently.
  • Knowledge of property management software is an asset.
  • Strong interpersonal communication skills.
  • General proficiency using a Microsoft Office Suite, mobile phone to e-mail, text, call and manage calendar appointments.
  • Familiarity with the Residential Tenancy Act is an asset.
Additional Criteria for Role:
  • Must be available to be on call in off hours for emergency call out.
  • Completion of a Criminal Record Check is required before employment commences.
  • Must have valid driver’s license and access to a reliable vehicle with a minimum of $2 million liability ‘business class’ insurance.
